Canadian Surgery Solutions (CSS), a division of Clearpoint Health Network, is currently recruiting for a Surgical Booking Coordinator.


Position Summary


The Surgical Booking Coordinator report to the Clinic Manager and is responsible for creating, organizing and maintaining medical records, including properly archiving medical records of discharged patients.

This role is part of a team who work collaboratively to provide a harmonious and productive working environment with effective communication.


Key Responsibilities:


  • Ensures all required components of the operating room booking package, including all lab and diagnostic results, have been received and included in the medical record.
  • Verifies that CSS OR dates are within the expedited time frame.
  • Confirms that written approval is in the medical record, if required for all OR bookings.
  • Ensure approved surgical quotes are confirmed wherever necessary.
  • Ensures and referral source is made aware of any convalescent support services that may be required for outoftown patients.
  • Provides the Manager, Surgical Services with a copy of all OR booking request forms as soon as they are received to confirm the number and order of cases and to ensure equipment requests are appropriate.
  • The day prior to surgery, informs the patient of the time to arrive for surgery and reviews all preoperative instructions with the patient.
  • Prepares and maintains an accurate daily operating room slate.
  • Populates the operating room slate with anesthesiologists using the schedule provided by the CSS anesthesiology group.
  • Finalizes daily operating slate no later than 14:00 for distribution the day before
  • Maintains the surgical waiting list and advises the Manager, Surgical Services which surgeons are behind when surgical days become available.
  • Responds to patient nonmedical enquiries related to their surgery.
  • Coordinates anesthesiology coverage (books, cancels).
  • Schedules anesthesiology consults.
  • Submits Surgical Data Collection Forms (weekly surgical summary)
  • Handle all personal health information according to the appropriate governing privacy legislation including, but not limited to, FOIPP, PIPA, PIPEDA and HIA.
  • Ensure health records are maintained and handled according to contractual agreements and that the standards of corporate policies and procedures are enforced.
  • Complete administration of health records including, but not limited to, creating health records, updating report tracking forms.
  • Date entry of health information for electronic records management.
  • Managing and monitoring records retention schedules.
  • Copying and faxing health record information as allowed by current privacy legislation to staff, doctors, employers, clients, etc.
  • To create and dismantle surgical charts as required.
  • Other duties as assigned by your supervisor.

Qualifications:


  • Grade twelve or equivalent.
  • Recent experience in medical records management required.
  • Knowledge of medical terminology required
  • Demonstrated knowledge and understanding of governing privacy legislation.
  • Superior organizational and information management skills.
  • High degree of accuracy and attention to detail
  • Ability to identify and resolve problems quickly and effectively.
  • Excellent customer service skills both in person and via the phone.
  • Strong computer skills including Microsoft Office.
  • Experience with Electronic Medical Records required.
