Alexandra Hospital, Ingersoll and Tillsonburg District Memorial Hospital are actively seeking applicants for an Integrated Payroll Associate. "Integrated" means that the successful incumbent will work at both hospital sites.


Under the general direction of the Manager, Finance, the Payroll Associate prepares and maintains a computerized payroll, as well as, administers employee benefits.

The Payroll Associate assists in other areas of the Finance office when required.


Key Responsibilities:


  • Prepare and analyze payroll documentation for a payroll of approximately 550 employees across two sites.
  • Maintain up to date salary, beneift and personal demographic information on all team members in both the payroll and scheduling systems.
  • Provide assistance to schedulers in utilizing the scheduling system and analyzing pay codes, and transfer time from Staff Scheduling Program to Payroll Program.
  • Analyze employee schedules, data entry changes, verify gross and net pay for reasonableness, prior to processing payroll.
  • Create all biweekly payroll reports for future reference and balancing, create electronic funds transfer report, balance to payroll register and transmit to bank for payment.
  • Make any corrections in the scheduling system for each biweekly payroll
  • Understand and follow the Collective agreements and any future changes, for four union groups and two non union groups.
  • Balance and remit all payroll, government benefit and pension remittances, Union dues, Canada Savings Bonds, on a biweekly and monthly basis.
  • Implement and process all salary and benefit increases based on collective agreement dates.
  • Prepare and calculate retro salary and premium payments for any delayed union ratifications.
  • Administer all team member and retireess' pension plan, monthly pension billings and year end reconciliation. Handle all employee inquiries.
  • Stay abreast of all pension plan changes by engaging in webinars and utilizing the HOOPP support team.
  • Balance monthend for all payroll, benefit and pension accounts with relation to General Ledger postings and any miscellaneous accounts as assigned.
  • Maintain Staff Scheduling System,
  • Complete the yearend balancing of payroll earnings and remittances, HOOPP pension, WSIB and EHT. Prepare and submit T4s and T4As. Complete the year end reconciliation of WSIB, EHT and HOOPP pension. Submit to the appropriate government bodies by outlined deadlines.
  • Follow all government record retention guidelines. Keep organized files, electronic files, and organized storage of files for ease of access for internal, external or government audit inquiries.
  • Work with Auditors to provide all requested information in an accurate and timely manner.
  • Process Records of Employment and handle all Service Canada inquiries.
  • Process and maintain employee files ? i.e. set up new hires; process terminations and retirements.
  • Maintain and create employment seniority lists and Provide to Union representatives for posting as outlined in all collective agreements.
  • Maintain vacation policy, process any applicable vacation payouts, and ensure new vacation year rolls over accurately.
  • Maintain Lieu Bank policy and send out necessary communications annually.
  • Complete WSIB incident reports online in conjunction with Employee health nurse, providing all Payroll and scheduling information.
  • Handle all change requests to the payroll system for any new coding needed, new or changed government legislation, policy changes, salary grids etc. Ensure testing is complete and analyze the new data in the next payroll period.
  • Performs duties in a manner that exemplifies and facilitates both quality and patient safety
  • Other duties as assigned.

Qualifications:


  • Postsecondary certificate with emphasis on payroll and business training or equivalent.
  • Minimum of two years of experience in a similar position required.
  • Indepth knowledge of provincial and federal laws and regulations related to the payroll function.
  • Payroll experience in a hospital environment would be considered and asset
  • Strong understanding of payroll accounting, and related processes and requirements.
  • Ideally possess Canadian Payroll Association certification.
  • Excellent problem solving skills and high level of attention to detail and accuracy.
  • Exceptional organizational and time management skills with the ability to multitask and work effectively under deadlines.
  • Must be able to adhere to strict deadlines for payroll processing and government remitting
  • Possess the personal skills and knowledge to provide and communicate payroll, benefit and pension information with all employees.
  • Team focused with a strong sense of urgency to achieve accurate results.
  • Strong Microsoft Office skills, particularly in Excel.
  • Excellent communication skills, both verbal and written.
  • Ability to work independently and as part of a team.
