**Community Oncology Program - MacCharles

Job Summary
The Administrative Officer reports and provides senior administrative support to the Director, Community Oncology Program. The incumbent will organize and prioritize the administrative activities ensuring all the work is completed within established time frames.

Administrative support includes coordination of the day-day activities for the COP Medical and Program Directors, as well as to the Community Oncology Program and all the different components of this program.

Administrative support also includes supporting the leader and the necessary communications with their internal and external networks within the provision of Health Care Services.

Tasks may include identifying time management issues, follow up on requests made to leader's subordinates or colleagues, final document preparation, electronic and paper filing, arranging meetings, managing time schedules, and organization within the office.

In addition, the Administrative Officer will coordinate and prepare business/financial plans, maintain statistical reports for internal and external purposes, research and provide analytical and meeting support to groups associated with related project with mínimal direction.

Facilitation and coordination of the onboarding and orientation for new staff both within the Program, as well as those from Community Cancer Programs will also be required.

Support for the organization's annual provincial cancer conference and other professional development opportunities may be required.

Supervision of staff is required, which includes direction to all administrative staff (permanent, temporary, or casual), work load delegation, on-the-job training, monitoring procedures, deadlines and performance evaluations/feedback.


Qualifications

  • Required: _
  • Completion of High School Diploma (Manitoba standards)
  • Successful completion of a recognized administrative training program or the equivalent in education and experience may be considered
  • Five years' directly related experience supporting an intermediate/senior level leader
  • Three years' experience in supervisory/leadership
  • Demonstrated ability to organize, sign, and supervise the work of junior employees
  • Experience scheduling and coordinating meeting and travel arrangements
  • Experience recording and preparing minutes and agendas
  • Experience maintaining spreadsheets and databases
  • Proficiency with Microsoft Office (Outlook, Word, Excel, Access, PowerPoint)
  • Ability to compose correspondence on behalf of Senior Directors/Managers/Leads
  • Ability to work independently interfacing with highly skilled professionals in a team environment and provide leadership in work activities
  • Must have a satisfactory employment record
  • Must be able to legally work in Canada
