IT Coordinator


This role reports to the Technology Lead, Information Technology and will be responsible for providing professional administrative and coordination support to the IT department.

This role plays a critical role in ensuring efficiency in key administrative processes for the department and maintaining a positive and supportive team environment while providing excellent service to peers and clients.

Administrative support for IT team includes expense, invoice and travel management, support for team activities, on premise admin support, assistance with budget tracking, meeting and communication support, and other coordination duties as required.

RESPONSIBILITIES

  • Participate in planning and resource allocation, in collaboration with department or project leaders as required.
  • Prepare purchase orders for software/hardware requests and capture all notes related to purchases for future reference.
  • Update/maintain contacts in interaction and vendor contact list.
  • Maintain stationary supplies and technology supply room.
  • Prepare agendas and support materials for internal/external meetings.
  • Process invoices, validate to budget detail and prepare payment coding instruction details for Accounts Payable, ensuring the proper signatory authorizations are obtained.
  • Build and maintain technology related contract repositories leveraging cloudbased platforms (Sharepoint etc.).
  • Manage license tracking for technology systems and services in accordance with organizational policies.
  • Receive incoming/forwarded phone calls in a professional manner, taking and distributing messages.
  • Manage telecommunication and mobility expenses for all businesses.
  • Collect and reconcile regular hardware reports from business locations to ensure that they are equipped with sufficient hardware to fulfill requests.
  • Responsible for tracking IT product and service requests to ensure delivery lead times are met for all new/existing employees in adherence to defined policy, procedures, and checklists.
  • Assist with general budget tracking, as required.
  • Coordinate facility services, including seating/office plans, repair or maintenance, key/lock management, procurement of new furnishings for the IT department.
  • Responsible for administrative duties, as assigned inclusive of: meeting minutetaking, filing, invoicing, ordering office supplies.
  • Assist with incoming and outgoing correspondence per supervisor direction, as required.
  • Responsible for managing onboarding and offboarding experiences for team members and clients.
  • Operates as the global IT assets coordinator including data entry into and reporting from an IT Asset Management tool.
  • Coordinating tasks within the department as assigned (e.g., ordering lunches, consolidating data, etc.)
  • Develop and dispatch organization wide communications regarding technology initiatives, changes, and advisories.
  • Maintain online content management and automation flows in Sharepoint, MS PowerApps etc.
  • Draft technology related functional and technical documents as required.
  • Build and maintain operational and project schedules.
  • Motivate team members to complete projects accurately and by deadlines, while reassigning aspects of projects to others when necessary.
  • Perform other tasks and duties as required.
  • Maintain project documentation, provide status reporting to all team members and key stakeholders.

QUALIFICATIONS

  • Minimum 3year IT coordination or administration experience.
  • A College or university degree in a related IT field is recommended, but not mandatory.
