Administrative Assistant - Winnipeg, Canada - Industrial Metals
Description
Industrial Metals is looking for an Administrative Assistant to join our team at the Messier office, working Monday to Friday from 8:00 AM to 4:30 PM.
Based in Winnipeg, the Administrative Assistant ensures all incoming calls to the switchboard are answered promptly, maintaining a strong customer service commitment and a clean and prepared office space.
Roles and Responsibilities
- General Duties:_
- Oversee and support all administrative duties in the office and ensure the office operates smoothly.
- Creates a welcoming environment by greeting guests and directing visitors.
- Managing the general office phone line and voice mailbox daily, answering all inbound telephone inquiries professionally, routing calls to the appropriate party, or taking messages as necessary.
- Receiving, sorting, distributing, and dispatching daily mail
- Maintain office supplies inventory and place orders when required.
- Maintain and update database and files. Identify discrepancies, troubleshoot, and communicate with appropriate parties to resolve issues.
- Plan and execute inhouse, offsite activities like monthly employee lunches, celebrations, and events.
- Liaison with facility management vendors (Cleaning services)
- Communicate with service providers (i
e:
tech support for phone, computer, and photocopier)
- Organizes and files company documents either electronically or paper filing system.
- Supporting Logistics/
Freight Duties:
_
- Support the coordination of domestic and international transportation.
- Support the preparation and management of documentation for inbound deliveries.
- Performing clerical tasks such as maintaining databases, shipment records, and updating paperwork. (i
e:
shipment tracking, fleet repair invoices, price lists, vendor accounts)
- Review inventory database to ensure onhand inventory can fulfill outgoing shipments.
- Communicate with all necessary internal and external parties to ensure the product is received, processed, and shipped in a timely manner. Troubleshoot and resolve issues as needed.
- Provide superior customer service to both internal and external accounts.
- Maintain working relationships with existing carriers and research/source new carriers as needed. (i
e:
rate quotes, sales calls from carriers.)
- Other duties as assigned
Qualifications
- High school diploma, equivalent education, or 2 years of administrative assistant experience.
- Proficient in Microsoft Office (Microsoft Excel, Word, and Outlook)
- Superior telephone manners and strong interpersonal skills.
- Strong customer service orientation and troubleshooting skills.
- Possess strong verbal and written communication skills to ensure exceptional customer service
- Excellent listening skills
- Strong organizational skills with the ability to multitask.
- Must have exceptional attention to detail.
- Strong organization and time management skills and ability to prioritize.
- Strong problemsolving skills and analytical abilities.
- Ability to build and maintain relationships with all levels of an organization.
- Understanding logistics and crossborder shipments is an asset.
Work Conditions & Additional Information:
- Work location: 550 Messier St.
- Working hours
- Midday
:Monday to Friday 8:00 AM to 4:30 PM: - Prolonged exposure to loud equipment/machine
- personal protective equipment will be provided
- Long hours of sitting
- Loud & dusty work environment
- Public transportation might be limited depending on your shift; It is expected that you can make transportation arrangements to get to work
