Job Summary:

Reporting to the Manager, Project Management, the Project Coordinator will lead and coordinate activities within the Project Management department.

This will include supporting the successful completion of new or existing projects, involving cross-functional teams, and providing assistance in the planning of schedules and monitoring of budgets and spending.


Responsibilities:


  • Supports Project Managers in developing, maintaining and monitoring project plans, action logs, project schedules, work hours, budgets, and expenses
  • Leads project administrative tasks by coordinating and managing documentation, internal files, records, and shipments
  • Prepares proposal worksheets and change orders, as required, for active projects as well as new business
  • Prepares, maintains and updates budget sheets with allocation of resources and time per the approved proposals
  • Initiates and follows projects and change orders invoices against agreed milestones per contractual agreements
  • Initiates and follows up on change requests and other project related transactions within Company's quality, materials and finance systems
  • Monitors project progress and creates project status reports for project managers and stakeholders, as required
  • Identifies and provides inputs during month end finance meetings to fill any gaps in resource booking and invoicing
  • Schedules stakeholder meetings and facilitates communication, including preparation and distribution of standard reports (agenda, minutes etc.)
  • Attends and leads meetings with clients during Project Manager's absence, as required, keeping assigned projects on track
  • Documents and follows up on important actions and decisions from meetings
  • Acts as department representative in Company's task force committees, as delegated
  • Assesses project risks, maintains Risk Register and provides solutions, as applicable
  • Supports creation and implementation of Standard PMO Templates
  • Prepares, monitors and communicates PM department metrics
  • Demonstrates the company mission, vision and values statements, policies, and current standard business practices
  • Follows GMP and regulatory requirements, and ensures quality standards are met
  • Observes and supports all safety guidelines and regulations
  • Performs other related duties as required

Qualifications:


Experience:


  • 35 years of experience in an administrative function
  • Working towards PMP designation or similar certification
  • Excellent organizational skills with strong attention to detail
  • Advanced computer skills, specifically in Microsoft Excel
  • Strong written and verbal communication skills
  • Records management training would be an asset

Education:


  • College Diploma in a scientific or administrative function
