Established in 1976, the Canadian Institute of Ukrainian Studies (CIUS) is a global leader in the field of Ukrainian Studies.

In support of the University of Alberta and Faculty of Arts mission and values, the Institute is dedicated to the production, preservation, and dissemination of expert knowledge about Ukraine and Ukrainians in Canada and worldwide.

Position Summary


Do you thrive in a dynamic and exciting environment? The Canadian Institute of Ukrainian Studies (CIUS) is searching for a dedicated Administrative Assistant to join our team.

The CIUS Administrative Assistant provides direct support through record keeping and general office administration.

This position will be the first point of contact for the CIUS team and is expected to resolve and/or direct inquiries to appropriate resources.

Reporting to the Assistant Director of Research, this position provides general administrative support to CIUS and the CIUS core administrative team.

The position is located in the CIUS Edmonton office on campus, and the duties of this role are shared between CIUS Edmonton office and HREC Toronto Office.


Duties

  • Answers phones and fields general inquiries for the area, the program(s) or service(s). Serves as a resource for routine and general inquiries and procedures.
  • Maintains spreadsheets and databases, compiles and maintains data including CIUS intranet, and assembles and formats data to create simple reports.
  • Maintains files and troubleshoots photocopier and phone issues. Organizes service calls as required.
  • Schedules and coordinates meetings, events and activities including scheduling rooms, organizing equipment, ordering catering and assembling materials.
  • Assists with routine travel arrangements and maintains an inventory of office equipment/supplies.
  • Process cash, credit card, interact and cheque transactions. Reconciles institutional credit cards; supports travel and expense claims for CIUS Core Administrative Team; prepares honoraria and reimbursements, awards, and other (domestic and international) disbursements.
  • Serves as recording secretary.
  • Coordinates card access and door access. Where still required, processes key deposits, revenues, returns and refunds.
  • Sets up office spaces for Visiting Scholars. Supports basic office moves.

Minimum Qualifications

  • Completion of a high school diploma is required.
  • 2 years of experience in an academic environment performing progressive administrative support.
  • Proficiency in speaking Ukrainian verbally and written.
  • Proven track record of success in dynamic environments.
  • Proficiency with PeopleSoft Applications, Campus Solutions, HCM, Financials, etc.
  • Excellent communication skills (written and oral).
  • Proven track record of exceptional customer service.
  • Welldeveloped interpersonal, organizational, and time management skills.
