Job Summary


The Policy and Procedure Coordinator will be responsible for creating and updating documents while providing administrative support to the Innovation team.

In addition to team support, the Policy and Procedure Coordinator is responsible for updating existing documentation to ensure consistent format, grammar and confirmation of policies and procedures are completed in a timely manner.


The Policy and Procedure Coordinator is required to prioritize maintaining up to date documents, ensuring consistency and attention to detail that will effectively translate information into easily understood written context.

Motivation to communicate clearly, follow direction, be solution oriented, work independently and as a team is required for this position.


The primary job duties and responsibilities:

  • Uphold the division and Olympia's reputation and values, while promoting our motto "With Us, It's Personal" in all interactions with employees, clients, and business associates.
  • Remain up to date on all Olympia products, services, and legislative requirements.
  • Edit and format documents for use of proper grammar and punctuation to meet document standards consistency.
  • Develop or update existing policies and procedure when changes are implemented.
  • Maintain control of document workflows and organization of documents stored.
  • Perform regular checks with all user platforms to ensure forms and documents up to date.
  • Collaborate with internal teams on policy matters.
  • Organize client communication; includes printing and mailing.
  • Track and archive all document version changes in a consistent format.
  • Actively assist and participate in projects and team meetings.
  • Flexible to perform various assigned tasks as requested by team and management.

Formal Education or Equivalent

  • High school Diploma is required.
  • Diploma in Business Administration or a related field of study is an asset.
  • Bachelor's degree in Management, Economics, or a related field of study is an asset.

Qualifications

Years of Experience

  • 03 Years of Administrative experience is an asset.
  • 03 Years of previous Document Control experience is an asset.

  • Excellent proofreading, editing, and business writing skills.
  • Exceptional technology skills and can work effectively in a paperless environment.

Experience and Skills Specialized skills, knowledge, or certifications**- Advanced proficiency in Microsoft Office (Outlook, Word, and Excel), and Adobe Acrobat Pro is required.

  • An understanding of the Anti‐Money Laundering (AML) policies and procedures will be considered an asset.
  • Entrylevel understanding of how the Investment Account Services Division operates.
  • Successful completion of a Criminal Background check is required.
  • Bilingual in French and English communication both written and spoken is an asset.
