Health Care on Yates is looking for a new Office Manager
We are a Nurse Practitioner led clinic that offers full family primary health care to residents of Victoria.

Care is delivered by a team comprised of Nurse Practitioners, Registered Nurses, Pediatricians, a Social Worker, a Mental Health clinician, and Medical Office Assistants.

We provide high quality primary care to up to 7000 residents of Victoria. Care delivery is both face to face and virtual. We are a clinic ran on a consensus decision-making model and all staff are equally valued for their contribution.


As a vital member of this health care team, you will be responsible for helping promote a positive and calm office culture as well as maintaining the overall flow of the clinic.

You will provide HR support to all staff and be the direct supervisor for the Medical Office Assistant staff. You will also work closely with the Clinic Director in all regards of the clinic management.

This includes but is not limited to basic accounting, financial reporting to the Ministry of Health and the treasurer of the board, workflow, support to Nurse Practitioners, support to Pediatricians, fielding patient complaints and facilitating staff meetings, emergency training for staff.

This is a full-time position. Hours M-F 8:30am-4:30pm with one evening per week until 8 pm and every fourth Saturday 8:30am-12:30pm.


Qualifications:
Education, training, and experience

  • Grade 12 education
  • Graduate of a Medical Office Assistant Course
  • 5 years recent related experience in a Primary Care Clinic office or Specialist office
  • Experience with management, human resources, staff supervision and staff scheduling
  • Proficient in Electronic Medical Records, preferably Med Access
  • Experience with medical billing an assest
  • Experience working with a culturally diverse patient population
  • Experience with accounting software, ideally including Hubdoc and Xero and Quickbooks
  • Equivalent combination of education, training and experience may be considered
Skill and abilities

  • Ability to type 60 wpm
  • Demonstrated knowledge of general office procedures and computer software tools
  • Demonstrated ability to utilize and understand Medical Terminology
  • Demonstrated ability to work independently and effectively as a member of a multidisciplinary team in a fastpaced healthcare environment
  • Demonstrated ability to organize and prioritize multiple tasks and work roles
  • Ability to operate related equipment
  • Physical ability to perform the duties of the position
  • Demonstrated ability to follow detailed instruction
  • Demonstrated ability to use a high degree of tact and diplomacy in working with others
  • Demonstrated ability to communicate effectively using all communication vehicles
  • Demonstrated ability to establish and maintain rapport with marginalized clients with cultural sensitivity
  • Demonstrated ability to observe and recognize changes in clients and communicate them to the appropriate medical and/or clinical professional
Starting wage is $30/hour and will be determined based on skill and experience. Full benefits coverage after 3-month probationary period.
