Job Summary:

We are currently seeking a dynamic individual for the role of Administrative/ Project Coordinator. The individual will report directly to the Director of the high-rise department.

The Administrator is responsible for the organization and preparation of purchase orders, reviewing contracts, liaising between clients, foremen and internal staff.

Coordinating with the high-rise estimators and invoicing department to discuss inclusions in project contracts and resolve pricing discrepancies while meeting deadlines.


Essential Duties and Responsibilities:


  • Serving as the point of contact between clients and builders to communicate project progress, changes or discrepancies
  • Prioritize and execute the purchase orders daily. Create/ followup on documentation
  • Entering project information into the database and completing the job set up process
  • Preparation of new project contracts (reviewing, adjustments and finalization)
  • Printing, photocopying and entering related information into the software database
  • Tracking and cost collection against client projects. This includes costing daily material sign out slips, data entry and communicating weekly amounts to specific projects
  • Filing project folders in alphabetical order, maintaining office organization
  • Coordinating project changes to ensure they are efficiently costed, referencing project contracts, and communicating updates to the assigned foreman on site
  • Track and followup on project expenses that require the external builder's attention for completion approvals
  • Support the development of project documentation (reports, letters, memos, extras)

Requirements:


  • College diploma or University degree in a related field or combination of education, training and experience deemed to be equivalent
  • Strong interpersonal, organizational and time management skills
  • Proficient in the use of Microsoft Office (Word & Excel)
  • Excellent oral and written English skills are essential

Experience:

- administrative assistant: 1 year (preferred)

  • Administrative Assistants & Receptionists: 1 year (preferred)
