Program Support Coordinator (12-month Maternity Replacement)

(Ottawa, ON / Victoria, BC / Halifax, NS)**Expected Salary: $54,105 to $81,158

  • In this role, you will:_
  • Provide project monitoring and controls support to the VISSC Program by:
  • Administering the project database;
  • Developing and generating live, periodic, and as requested, consolidated program and discrete project status reports;
  • Providing project cost control support including:
  • Supporting monitoring of project cost adherence;
  • Cost performance measurement;
  • Administering expenditure limitation notices; and
  • Supporting fiscal year budget monitoring and adjustments.
  • Provide project lifecycle management support to Program and Project Managers through:
  • Administering project initiation; and
  • Supporting project closures through administering closeout checklists, Task Closeout and Acceptance (TCOAs) forms, invoiced in full notifications, customer acceptance notifications and archiving of project records.
  • Provide Documentation and Records Management support by:
  • Managing the VISSC program positional mailbox;
  • Supporting VISSC SharePoint content management activities; and
  • Supporting VISSC SharePoint user account access management.
  • Coordinate all internal, and external customer, queries and requests to the VISSC Program team through the positional mailbox;
  • Management of Travel Estimates for the VISSC Program;
  • Undertaking other duties as deemed necessary and reasonable.
  • A bachelor's degree, college diploma or certificate in administration, business management, accounting
  • 2 years of related work experience
  • Intermediate user skills with Microsoft Word, Excel, PowerPoint, Power BI, Teams, and possess experience with the use and management of SharePoint and/or other document management systems
  • The ability to understand and adhere to procedures and policies
  • The ability to work with precision and accuracy, demonstrates attentiontodetail and has excellent record keeping skills
  • The ability to identify and implement innovative administrative solutions to increase efficiencies
  • Good judgment and a high level of confidentiality
  • Excellent verbal and written communication skills
  • The ability to function in a selfdirected manner in a team environment, including personal workload management (organizing and prioritizing) with a focus on meeting deadlines in a highpaced environment
  • Experience in gathering, maintaining, reporting and analyzing schedule/cost data
  • You are skilled at researching information
  • You have skills in planning, designing, managing, and controlling online and print content, through collaboration with other team members in information development (an asset)
