Position Summary
Under the supervision of the Jordan's Principle Program Manager through EAGLE Urban Transition Centre (EUTC), the Jordan's Principle Billing and Payment Assistant is tasked with providing extensive financial support to the Jordan's Principle EUTC encompassing various finance-related responsibilities.
Key Responsibilities
- Processing Cheque Requisitions: receiving, reviewing, and processing cheque requisitions related to housing expenses. Reviewing supporting documentation including lease agreements, invoices, purchase orders and accurately coding to appropriate department.
- Managing hotel invoices: receiving, reviewing, and processing hotel invoices matching supporting documentation to validate the charges and accuracy. Resolving any discrepancies or billing errors with hotels to ensure a timely and accurate payment.
- Data entry and recordkeeping: entering cheque requisitions and hotel invoices into the internal worksheet accurately and promptly. Maintaining records and documentation for all housing cheque requisition and hotel invoices, including electronic and physical files.
- Vendor Management: communication with landlords, hotels, and vendors to address inquiries, and regular follow up. Resolving outstanding payments and finance issues while maintaining a positive relationship.
- Payment Processing: initiating and processing payments for approved housing cheque requisitions and hotel invoices in accordance with established payment schedules and procedures.
- Coordinating with the different levels of management throughout the AMC to acquire approval signatures. Working closely with the EUTC Finance and AMC Finance.
- Ensuring compliance with internal accounting standards and regulatory requirements related to accounts payable processes and expenditures.
- Generating reports and providing financial data and data analysis related to housing and hotel expenditures when required.
- Other duties as assigned.
Qualifications
Education & Experience
- Accounting & Payroll Administrative Assistant certificate, or a Business Administrative
- Financial Services Certificate, from a recognized college or technical institute or a combination of two year's related experience and/or education/training.
- A strong understanding of basic accounting principles and practices is essential. Coursework or training in accounting software and financial systems is often beneficial.
- Proficiency in using computer software such as Microsoft Excel, Word, and accounting software is important for managing billing and payment processes efficiently.
- The ability to accurately review and analyze financial documents, such as invoices and payment records, is crucial to ensure accuracy in billing and payment processing.
- Effective organizational skills are necessary to manage multiple tasks, prioritize workload, and meet deadlines in a fastpaced environment.
- Strong written and verbal communication skills are essential for interacting with internal management, vendors regarding billing inquiries, payment status, and resolving discrepancies.
- Proficiency in basic mathematics and numerical reasoning is necessary for calculating amounts, reconciling accounts, and preparing financial reports.
- The ability to identify and resolve billing discrepancies, payment issues, and other financial problems in a timely manner is important for maintaining accurate financial records and ensuring customer satisfaction.
- Collaboration with other members of the Jordan's Principle EUTC team, Jordan's Principle EUTC Housing team, the finance department, may be required to address billing and paymentrelated issues effectively.
- Knowledge of First Nation culture, history, and issues.
- Must have a current satisfactory Criminal Record Check and Clear Child Abuse Checks.
