The Position

The Office Manager leads a team of Administrative Assistants who administer and support various programs on behalf of the organization.

The position develops and improves administrative processes to support the effective coordination of day-to-day operations and ensures the adequate flow of information throughout the organization.

Our Edmonton Office is currently undertaking a building expansion project, as the Office Manager in charge for the Facilities and Infrastructure program of both, our Edmonton office building and our leased Calgary office, you will be a key player in the successful completion of this project.


Other facilities and infrastructure responsibilities include the implementation of HSAA's Emergency Response Plan, management of the commercial insurance liability policies for the entire organization, managing contract and price negotiations with facility management vendors, service providers, and tradespersons.

Your team of administrative professionals complete a range of duties to support the following programs for the organization:


  • Merchandise
  • Manage HSAA store and merchandise program.

  • Manage member benefits, bursaries, funds, and awards.

Event Planning

  • Manage the planning and logistics project of major HSAA events and conferences.

Office Administration & Reception
  • Manage the daytoday administrative operations.

Facilities & Infrastructure
  • Manage the maintenance activities for the Edmonton and Calgary offices.
The position works under high-pressure situations to provide timely and accurate advice on current projects and emerging issues.

This role requires a high level of independence, agility, and problem-solving skills to address office and building matters and provide clear guidance to staff on actions to take to alleviate office and program operations.

Project coordination, time management, active engagement and collaboration with employees at all levels of the organization and other internal and external stakeholders are essential for this role.


What You Bring

You have a bachelor's degree in Business Administration or a related discipline, supplemented with previous experience providing direct supervision to a team of administrative professionals.

You have experience with budget administration, facilities, operations, and program management. You share the core values of HSAA and believe in the value that unions bring to workers.


You are tech savvy with an intermediate to advanced skills in Microsoft Office suite of programs, including Outlook, Word, Excel, PowerPoint, and Teams.

You are a self-motivated and organized individual with the ability to respond to requests and issues as they arise in a professional, approachable, and service-oriented manner.
