Job Description
Grants and Partnerships Coordinator
Job Summary:
Responsible for assisting senior staff with tasks related to identifying, promoting, planning, coordinating and managing international engagement projects, partnerships and initiatives. Analyzes project and initiative requirements and works with others to determine the required logistics, budgets, and fund allocations. Provide administrative expertise in writing proposals and ensuring proper documentation is provided for various projects. Negotiate and draft contracts and agreements with various parties securing cooperation and funding for international engagement endeavors.
Purpose and Key Functions:
- Remain current on international programs funding opportunities by consulting community members and websites and promote them through targeted internal communication (e.g., e-mails and newsletters).
- Provide advice to researchers regarding the interpretation and application of funding agency policy.
- Develop concepts and strategies when authoring sections of grant applications which address the project's importance to the University's strategic research plan to aid in the agency's decision to fund or reject a proposal
- Conduct relevant literature reviews and environmental and institutional scans pertaining to international education to support grant writing
- Ensure that proposals and funding agreements comply with University policies, protect the University from legal liabilities, and conform to the criteria and guidelines of the relevant program sponsoring agency.
- Initiate and develop institutional agreements in consultation with international partners for various collaborative purposes (e.g., general cooperation, mobility, etc.)
- Provide support to senior staff when negotiating and drafting contracts between McMaster University and funders
- Draft letters of recommendation for prizes and awards for researchers.
- Act as a liaison between the University and external sponsors concerning sponsors' policies, regulations, and opportunities for funding opportunities that require an institutional signatory.
- Design and develop tools, guidance documents, University agreement templates and processes to manage funding competitions.
- Analyze project requirements and work with various stakeholders to determine project logistics and provide advice and guidance regarding project specifications and protocols.
- Negotiate and develop budgets with partners including other institutions, private sector, not for-profit, federal and provincial governments, and agencies.
- Develop solutions to address serious budget deviations.
- Scrutinize documents for small changes when critically reviewing project proposals and budgets.
- Design projects, studies, and questionnaires and complete ethics application when needed
- Develop and administer tools for qualitative and quantitative data collection, analyze data, and report on findings
- Develop multi-party, multi-year budgets where cost-sharing includes proportional cash and in-kind contributions from the granting agencies and other University partners and monitor project budgets
- Ensure compliance with progress reporting deadlines and requirements.
- Write a variety of documentation including, but not limited to, reports, forms, e-mails, newsletters, promotional material, policy briefs, and general correspondence.
- Design and deliver a wide range of presentations and workshops.
- Update and maintain the department website ensuring the accuracy of online content.
- Plan and coordinate a variety of events and activities.
- Adhere to social and cultural protocols when meeting with international visitors.
- Exchange technical and scientific information amongst colleagues.
- Arrange, attend, and facilitate meetings with faculty, staff, and students.
- Collate and distribute mailings.
- Prepare and deliver presentations at meetings and seminars.
Respond to and direct general inquiries via telephone, e-mail, and in person.
Supervision:
- Provide direction to others in how to carry out work tasks.
- Provides orientation and shows procedures to others.
Ensures adherence to quality standards and procedures for short-term staff.
Requirements:
- Bachelor's degree in a relevant field of study.
