Who we need:


Yorkville University is looking for a receptionist to manage our front desk daily and to perform a variety of administrative tasks.

As a Receptionist, you will be the first point of contact for our students, guests and staff. The Receptionist's duties include welcoming and greeting anyone who visits the campus. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.


To be successful in this role, you should have a customer service mentality, greeting guests and staff in a friendly and professional manner.

We are looking for someone with a Team Player and Can-Do attitude, who can effectively multi-task with strong time management skills.

You should be able to deal with emergencies in a timely and calm manner, while streamlining office operations.

What will you do:


The Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.


  • Greet and welcome students, guests and employees
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Receive, sort and distribute daily deliveries
  • Order front office supplies and keep inventory of stock
  • Manage booking system for desks and meeting space
  • Coordinate any catering requirements for meetings and office events
  • Keep office stocked with coffee, coffee supplies and snacks
  • Perform other clerical receptionist duties such as filing, and photocopying

Hours
Monday to Friday 11:00 am

  • 7:00 pm

What you bring:


  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Handson experience with office equipment (desktop, printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and timemanagement skills, with the ability to prioritize tasks
  • Customer service and Team Player attitude
  • High school degree; additional certification in Office Management is a plus
