Based out of Vancouver, British Columbia, the Assistant Property Manager will support the 2955 Broadway Tech Centre property.

Reporting directly to the General Manager, the successful incumbent will be responsible for providing best in class customer service the day-to-day activities of the portfolio.


Responsibilities

  • Provide support to the General Manager in the daytoday activities for buildings in the portfolio and assist in completing annual budgeted projects within budgeted amounts.
  • Supervise contracts/contractors' obligations for major service contracts
  • Analysis of financial statements for preparation and posting of monthly reports
  • Assist with annual budget process for buildings within the portfolio.
  • Liaise with tenants for escalated collection of accounts receivable matters and reconcile accounts.
  • Administer lease related payments (i.e. tenant allowances, etc.).
  • Processing of Capital invoices, back up (ie. cost control)
  • Process invoices including matching, coding invoices to comply with budget schedules and compiling and verifying batches submitted to Regional Accounting.
  • Administrative functions relating to property management and analysis of leases.
  • Tender operational contracts (landscaping/snow removal, hvac, etc.)
  • Maintain and update contract schedule and various database software
  • Monitor and follow up on QuadReal Connect/Tenant maintenance requests to ensure overall service delivery is consistent with QuadReal standards
  • Maintenance and updating of tenant information, for timely collection and recording of tenant insurance certificates.
  • Maintain tenant manuals and assist with coordination of tenant appreciation function for the buildings in the portfolio.
  • Oversee periodic tenant surveys, ensuring distribution of survey on a timely basis and encouraging maximum participation of all tenants. Review all survey responses, analyzing trends and concerns. Follow up with all tenants providing written feedback on overall ratings and speak to all tenants to ensure issues have been dealt with to the satisfaction of the tenant.
  • Type and distribute correspondence to tenants.
  • Responsible/Accountable for reviewing monthly recurring billings
  • Prepare Rental Letters.
  • Liaise with tenants and followup communication for dealing with tenant matters.
  • Monitor and track vacant unit utility accounts.
  • Process all cheques, invoices and related reports and systems within JD Edwards as assigned.
  • Read and understand leases to ensure accurate information is received and maintained.
  • Read and review Lease Review Checklists and reports (LRC'S)
  • Maintain and update security deposit reports.
  • Maintain and update tenant information, including phone numbers, contact names and emergency contact information as changes occur
  • Complete understanding and adherence to the Environmental Policy, the Code of Conduct and other policies and procedures relevant to the position as prescribed from time to time
  • Other duties as directed by the Property Manager.

Qualifications

  • 3+ years of related Property Management experience or postsecondary courses in property management required.
