The successful applicant will be responsible for the biweekly payroll of one of our operating companies, as well as administration of Group Benefits and Pension Plans for our two Ontario companies.

Reporting to the Manager, Pension and Benefits, you will perform all administration functions related to the company Group Benefits programs, while acting as a liaison with the plan administrators to ensure compliance and accuracy.

Additionally, processing of various MHS Pension Plans, both defined contribution and defined benefit (OMERS and HOOPP).

In this role, you will be responsible for:

  • Ensuring the administration of the company benefits programs comply in accordance with government regulations and company policy/procedures while keeping the Manager Pension and Benefits is aware of any concerns or complex issues that arise.
  • Providing newly eligible employees with enrollment packages and forms, and answering any questions. Ensure all are enrolled in the applicable plan within the time frame required. Regularly audit to ensure employees that have completed the waiting period are set up for pension and benefits contributions.
  • Processing confidential employee changes: new hires, terminations, status changes, employee personal information changes (ex. address), and rate changes.
  • Responsible for administration of Defined Benefit Pension plans, including new enrollments, terminations, leaves, and year-end reporting requirements.
  • Reconciling monthly benefits invoices and remitting the payments to the company carriers within the required vendor deadline.
  • Processing employer statements for Disability claims.
  • Providing pension and benefits premiums collection letters to employees who are on company-approved leave of absences such as STD, WCB and personal leaves; notifying them of their options for collection arrangements available to them. Ensure that premiums owing to the company are collected and updated in the payroll system.
  • Notifying employee and benefits carriers when an employee has reached their waiver period (ex. LTD) and make the necessary adjustments to the employee deductions or carrier invoices.
  • Calculating and entering payroll corrections as needed, and verifying that the corrections were completed accurately.
  • Designing and maintaining a personal benefit work calendar with necessary completion deadlines to ensure deadlines are met.
  • Remaining current with industry trends and other pertinent information for each benefit program assigned.
  • Post-secondary education in business or related discipline;
  • Three to five years of experience as a payroll administrator and experience in processing a large payroll (200+ employees) required;
  • National Payroll Institute (NPI)
Certified Payroll Compliance Professional (PCP) or entry level to a CEBS program (Certified Employee Benefits Specialist);- Experience administering Group Benefits and/or Defined Benefit Pension Plans strongly preferred;- Demonstrated proficiency with Microsoft Office suite:
Excel and Word. Advanced spreadsheet manipulation skills are critical to be successful in this role;- Ability to prioritize workload, and read and interpret documents such as union agreements, company procedure policies and Labour Standards;- Ability to write routine reports and correspondence and be an excellent communicator to explain challenging situations to employees;- Must
