The Faculty Services Team provides proficient and accurate coordination and administrative assistance to faculty members at the Ivey Business School.

The team's mission is to provide professional, efficient and effective support to faculty members.


Responsibilities:


The Program Assistant coordinates and supports the effective and efficient administration of the New Venture Project (NVP) capstone course for Ivey's HBA and MBA Programs.

The role is responsible to provide superior customer service to the students, Entrepreneurs-in-Residence (EIR), faculty, and alumni participating in the program.

The Program Assistant is responsible for providing a full range of administrative support to the NVP Academic Directors, NVP teaching faculty and several assigned faculty members.

The Program Assistant will provide relationship management and will maintain communications with the Entrepreneurs-in-Residence recruited to work with HBA, MBA, and MSc teams.

Recruiting EIRs is the responsibility of the NVP Academic Directors and the Morrissette Institute.


The Program Assistant is a front-line customer service provider, responsible for engaging with all stakeholders including the Dean's Office, faculty, students (ranging from undergraduate students to executive program participants), staff at Ivey and across the University, and faculty guests and provides related support across all programs.

The Program Assistant acts as a resource and provides guidance and information in regard to the programs, prioritizing requests depending on time sensitivity, ensuring that the School's professional and academic reputation is maintained.


Qualifications:


  • Education:
  • 3 year community college diploma in a related field
  • University degree preferred

Experience:

  • 4 years' experience providing administrative support and customer service to professional management personnel, senior administrators or faculty members

Knowledge, Skills & Abilities:

  • Ability to establish and build healthy working relations and partnerships with clients, peers and external stakeholders
  • Demonstrated ability take initiative, to work independently and follow through on work assignments
  • Positive attitude with genuine customer service orientation
  • Ability to work well under pressure and handle multiple competing priorities in a fastpaced environment with frequent interruptions
  • Strong problemsolving skills and sound judgement including experience formulating and executing action plans
  • Possesses a reputation for resourcefulness with a strong sense of accountability and initiative
  • Strong ability to adapt to various personalities and work styles
  • Selfmotivated multitasker with strong organizational skills
  • Strong attention to detail and ability to process information with high levels of accuracy
  • Excellent verbal and written communication skills and confidence dealing with all levels of an organization
  • Professional manner and poise, and sensitivity in dealing with confidential issues and materials
  • Intermediate proficiency required in Microsoft Suite and demonstrated ability to quickly adapt to new technologies
  • Ability to work within a flexible schedule to accommodate the University's events and activities
  • Knowledge of the administrative policies and procedures of the University and Ivey Business School is preferred
