Position Information:


The Ontario eServices Program, co-led by the Ontario eConsult Centre of Excellence and the eHealth Centre of Excellence and is funded by Ontario Health, delivers digital services that improve access to care for patients and supports clinical workflows for providers.

eConsult and eReferral are two digital health tools the Ontario eServices Program is responsible for leading across the province.


The COE project team is currently seeking a full-time Administrative Coordinator responsible to perform a full range of administrative and support services.

Reporting to the Program Director of the COE, the Administrative Coordinator will work closely with the two Medical Executive leads and the COE team to provide a full range of support services.


Temporary until approximately March 31, 2023.

Rotation/Shifts:

Days, Monday to Friday, 8 hour shifts (08:00-16:00).

Some flexibility is required for occasional evenings and travel within Ontario.


What you will do:

Responsibilities in this role will include, but are not limited to:

  • Scheduling and coordinating meetings, events and travel;
  • Attending meetings to record, summarize and distribute minutes;
  • Assisting in the preparation of reports and presentations;
  • Tracking action items, key contacts and progress of projects;
  • Preparing communication materials;
  • Preparing payments to eConsult deployment teams across Ontario;
  • Maintaining and updating files and documents;
  • Tracking deliverables and due dates;
  • Responding to internal and external administrative requests;
  • Assigning eConsult cases to appropriate specialists;

Basic Requirements:


  • Two year Community college diploma in Business Administration, Office Administration or equivalent;
  • Two to four years of previous related administrative experience;
  • Excellent organizational, prioritization and time management skills required to work independently in a busy environment;
  • Strong knowledge of MS Word, Excel and Outlook and PowerPoint;
  • Strong interpersonal and communications skills (written and oral);
  • Ability to work under pressure and tight deadlines;
  • Ability to deal tactfully and diplomatically with a wide variety of parties, demonstrating excellent customer service skills;
  • Ability to work independently with mínimal supervision, as well as work effectively within a team;
  • Ability to maintain confidentiality, tact and discretion at all times.

Preferred Qualifications:


  • Some university education or equivalent;
  • Experience in health care;
  • Experience with Microsoft SharePoint;
  • Proficiency in English and French oral expression (advanced level) and comprehension (advanced level).
