    Sales & Operations Coordinator

    Clark Ag Systems, a family- owned business based out of Caledonia Ontario, supplies a complete line of high-quality equipment for poultry and egg production to farmers across Canada. The professional and skilled staff at Clark constantly strives to achieve the highest standard for sales, installation and service. We are looking for an enthusiastic, hardworking, results-driven individual to take over the position of Project Coordinator.

    Key Responsibilities:

    Sales Team Support

  • Assist with quoting and create finalized professional quotes for presentation to customers and sub-distributors
  • Maintain and report on quotes in ACT sales relationship management software database
  • Working with individual sales reps on a weekly basis to ensure sales activity is up to date in ACT system
  • Create Sales Activity Report for management on a monthly basis for monthly management meeting
  • Attend sales meetings and take minutes, provide sales performance data, discuss sales related issues and concerns
  • Build and maintain "Barn System" quote templates
  • Review and update labor and other rates in system as verified by Operations group
  • Coordinate all travel arrangements for management team, suppliers' representatives as required
  • Maintain and monitor shortages, participate and update on weekly calls
  • Sales activity report
  • Project Coordination & Installations

  • Work closely with purchasing to expedite all incoming deliveries of equipment
  • Update and maintain new orders and Installations Projects Overview (IPO) workbooks
  • Create and edit all sales orders in the MRP computer system
  • Create and maintain customer files and project files for all sales orders
  • Create corresponding work order for job costing
  • Prepare picklists and coordinate picking with warehouse to ensure all materials are picked, packed and staged for installation
  • Create and maintain customer files and project files for all sales orders

  • Update and maintain various data bases
  • Add all new contact information when quotes are produced, add all new leads and any data updates into ACT system
  • Do research online for new contact information
  • Backup purchasing and receiving
  • Other

  • Arrange training
  • Prepare agendas and minutes
  • Assist with trade show and customer open houses set ups and tear downs
  • Adhere to all safety rules, policies and procedures
  • Other duties as assigned
  • Required Attributes

  • Minimum 3 years' experience in a sales support or similar role, supporting high performing teams
  • Post-Secondary Education preferred
  • Experience using CRM software and sales team monitoring tools – preferably ACT or similar CRM
  • High proficiency in Excel, Word and other Microsoft Office programs – demonstrable skill set required
  • Experience dealing with various accounting and inventory systems is an asset
