Full-Time Term to March 31, 2024 with a possibility of extension

Position Summary


Under the direction and supervision of the Director of Human Resources the incumbent is responsible for a range of human resources and payroll administrative duties such as compiling, maintaining, and processing information related to time and attendance.

An important part of the role will be to act as a liaison between HR, payroll and employees while ensuring smooth communication and prompt resolution to payroll inquiries.


Key Responsibilities

  • Monitor employee attendance including their workhours, overtime, holiday pay, and other prescribed leave using physical records and the prescribed HRIS system.
  • Provide confidential administrative support to the human resources and finance department to ensure a seamless payroll system is achieved.
  • Assist with the oversight of the time and attendance tracking system ensuring optimum efficiency by recommending changes, upgrades, or improvements.
  • Identify and resolve time and attendance discrepancies with the employee, manager, and payroll.
  • Engage with managers to verify time and attendance submissions including but not limited to overtime, leaves, and payroll deductions prior to it being submitted to payroll.
  • Ensure that appropriate authorizations adequate supporting documentation, and compliance with company policy and procedures are achieved.
  • Prepare and submit weekly and biweekly time and attendance reports to payroll for processing.
  • Verify all payroll registries to what was submitted for processing to ensure information is accurate.
  • Analyze and reconcile time and attendance data.
  • Respond to all inquiries regarding employee time tracking, leaves, overtime, and holiday pay.
  • Train employees on time and attendance protocols, desktop/mobile HRIS system, and the leaves available to them.
  • Assist in preparation of documentation for all payroll submissions including the employee action form, payroll changes, address changes etc.
  • Create and maintain hard and soft copies of employee time and attendance records for auditing purposes and submit to external auditors on an annual basis.
  • Participate in special projects and committees as directed.
  • Other duties as assigned.

Qualifications

Education & Experience

  • Completion of postsecondary education with a focus in Payroll and/or Human Resources Management or a related discipline is required.
  • 23 years administrative experience preferably in the human resources and/or payroll field required.
  • Experience using an HRIS and payroll processing systems. Knowledge of Bamboo and Sage 300 Canadian Payroll module is considered an asset.
  • Must be able to demonstrate emotional stability and objectivity when dealing with challenges.
  • Able to plan, balance and manage multiple priorities and meet deadlines.
  • Excellent administrative, written, communication, editing, organizational skills, and research abilities.
  • Must be adept at problemsolving, including being able to proactively identify issues and recommend resolutions in a timely manner while keeping all matters confidential.
  • Must have computer knowledge capabilities i.e. Microsoft Word, Excel, Outlook, Zoom, etc.
  • Adhere to AMC policies and procedures with specific attention to attendance, and professional ethics.
  • Knowledge of current employment practices, human rights legislation, and the Canada Labour Code.
  • Experience tracking time and attendance for a large organization considered an asset.
  • Experience working in Human Resources with First Nations or First Nations organizations in Manitoba or other regions.
  • Knowledge of First Nation culture, history, and issues.
  • Must be able to work flexible hours and travel upon request.
  • Must have a current satisfactory Child Abuse Registry Check and Criminal Record Check.
