    Your opportunity:

    Under the general direction of the Director, Student Experience and the Associate Registrar, Registration & Records, the Awards & Registration Advisor is responsible for assisting with a variety of awards, financial, customer service and administrative tasks. The incumbent has an essential role supporting OISE's internal awards process. The incumbent works independently and in cooperation with departmental staff to ensure that award information for OISE students is accurate and timely and that award applications are created/updated, posted and adjudicated based on an annual schedule. The incumbent normally establishes work procedures and priorities for the internal awards process in conformity with University of Toronto and OISE policies and completes duties on own initiative. The incumbent is the primary point of contact for general inquires related to student services and provides general guidance to students and prospective students related to awards, financial planning, financial aid and OISE student success services. The incumbent provides registrarial services to full and part-time continuing students, new students, and graduates, with respect to all OISE programs. The incumbent works in a very independent manner, carrying out duties requiring sound judgment, initiative and sensitivity in the complex processes of registrarial functions, receiving specific instructions only on unusual problems or on matters which depart radically from established practices. The incumbent normally establishes work procedures and priorities in conformity with School of Graduate Studies and OISE policies and completes duties on own initiative. The incumbent ensures course selection and registration in OISE programs for 3 registration cycles yearly. Determines the registration priorities of candidates, based on specialized knowledge of the administrative requirements of the Registrar's Office and Student Services, the School of Graduate Studies and OISE departmental guidelines and procedures. The incumbent advises students and other inquirers on matters relating to course selection and registration policies and procedures, appeals and other matters. Likewise, they liaise with students, staff at the School of Graduate Studies, OISE Departmental administrative staff and Graduate Liaison Officers and the Ontario College of Teachers on matters relating to course selection and registration and for maintaining confidential records and student files. The incumbent is responsible for the processing of student course selection and registration activity with regard to the receipt, processing, compilation and routing of supporting documentation. In total, the incumbent is responsible for students' registrarial activities and records from the point of initial acceptance into programs at OISE right through to graduation, including processes related to balance of degree fees for graduates. The incumbent also produces digital and hardcopy transcripts and letters of confirmation for OISE legacy degree and non-degree studies. This entails pulling information from a variety of data sets and archival records. The incumbent co-ordinates the organization and maintenance of complex academic records and the issuing of historical transcripts, records and related forms for current and historical OISE programs as well as for Additional Qualifications. The incumbent maintains and updates transcripts and analyzes academic records as well as collects, balances and transmits transcript and records fees received. The incumbent liaises with the University of Toronto Transcript Centre to help ensure complete and accurate student transcripts.

    Your responsibilities will include:

    • Keeping well-informed on University programs, policies and procedures
    • Identifying and resolving individual data anomalies and discrepancies
    • Analyzing collections, records and/or reference administration processes and recommending improvements
    • Reviewing and assessing student records to determine academic standing and informing students of changes
    • Analyzing and reconciling registration/status/program of study information
    • Writing routine documents and correspondence
    • Providing detailed information regarding financial aid issues
    • Providing detailed information on fee deferral procedures and deadlines

    Essential Qualifications:

    • Bachelor's Degree or acceptable combination of equivalent experience
    • Minimum two years recent and relevant experience in awards, registration or financial aid
    • Experience working with awards procedures and guidelines
    • Demonstrated experience with student award selection process in a University environment
    • Extensive experience with ROSI
    • Demonstrated superior interpersonal skills with excellent client service orientation
    • Advanced skills with MS Office and database management
    • Ability to deal tactfully, personably and effectively with staff, students and all other stakeholders
    • Strong written and oral communication skills
    • Excellent time management skills
    • Must possess initiative, good judgment as well as sensitivity and confidentiality
    • Demonstrated ability to identify and correct problems and strong attention to details
    • Multi-tasking ability and ability organize and oversee a high volume of financial documentation

    Pay Scale Group & Hiring Zone: USW Pay Band 09 -- $65,407 with an annual step progression to a maximum of $83,646. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
