DESCRIPTION:


  • Folklorama
is seeking an outgoing and detail-oriented individual to support the Manger, Group Tour Programs at Folklorama in the lead up to and during the annual Festival.
  • Term of employment:
  • June 5th to August 20th, weeks)
Schedule is 35 hours per week Monday through Friday. Overtime may be required during the weeks of the Festival. Must be available evenings and weekends.

  • Primary Accountabilities:
  • Customer Service
  • Respond to inquiries and complete bookings for VIP Tour and Assisted Housing Groups program requests.
  • Provide client registration duties for VIP Tours at the embarkment locations during the Festival.
  • Support the Group Tour Manager with group checkins at Pavilions.
  • Support the Group Tour Manager with the workshop sessions specific to training and the orientation of volunteers towards the successful delivery of Folklorama programming, including Tour Guides, Tour Chairs and other Pavilion volunteers as required.
Administration

  • Coordinate communications of the Folklorama Assisted Housing Groups program with supportive housing groups.
  • Prepare and assemble Assisted Housing Groups information packages for supportive housing groups.
  • Develop a prospective client list for Folklorama Custom Group Tours and ASH Groups.
  • Prepare and assemble Pavilion tour information packages of all Assisted Housing Groups bookings including reservations with Pavilions and required database entry.
  • Execute all required internal accounting documentation related to Assisted Housing Groups bookings, including sales order paperwork, balancing of accounts and completion and distribution of final statements of accounts and receipts.
  • Produce weekly reports on Assisted Housing Groups bookings and a final report at the close of the Festival.
  • Assemble Tour Guide information packages and coordinate distribution to volunteers.
  • Assist with Tour Guide survey entry following Festival.
  • Assist with Tour Guide scheduling and inputting shifts on Better Impact.
  • Organize Pavilion group settlement forms postFestival.
General Accountabilities

  • Support all Folklorama special events as required.
  • All other duties as assigned by the Manager, Group Tours, Director, Festival Operations & Partnerships, or Executive Director.

Qualifications:

  • Education & Experience
  • Completion or enrollment in a postsecondary education in a Tourism program is preferred.
  • Minimum of 1 to 2 years directly customer servicerelated and event related experience.
Credentials

  • Must have valid Manitoba Class 5 driver's license.
Skills and Abilities

  • Must be able to lift up to 20 lbs unassisted on a frequent basis (boxes, equipment, signage).
  • Must have excellent written and verbal communication and interpersonal skills.
  • Superior organizational skills; detail oriented; focused and with a high level of initiative and energy
  • Ability to produce highquality work on a deadline and comfortable managing multiple projects, priorities, and deadlines.
  • Comfortable with problem solving.
  • Sales driven.
  • Demonstrated ability to work effectively both independently and in a team environment.
