To support the operation and management of Beedie's real estate portfolio including receiving and coordinating service and repair requests, preparing and issuing purchase orders and sub-contracts and related documentation, liaising with and dispatching trades and assisting Property Manager(s) with preparation of annual operating cost and capital project budgets.


Key Responsibilities:


  • Administration and control of all property maintenance and inspection paperwork
  • Assist with coordination of property inspections related to and in association with preventative maintenance program as directed by property managers
  • Coordinate contract documentation with suppliers
  • Administer the Beedie PM system Angus by updating tenant contacts, following up with and closing out tenant request, and keeping all information current in close communication with the property managers
  • Issue purchase orders to subcontractors and Beedie crew and monitor progress of work. Close off purchase order when work is complete and follow up with tenant to confirm satisfaction
  • Carrying out general administration duties such as archiving and organizing files
  • Coordinating and communicating with the external and internal team
  • Utilize Beedie SM Module program to generate purchase orders, document services and maintenance work performed and create an inventory of building assets
  • Be familiar with cost accounts and coding of project costs
  • Provide general administrative support to the Asset Management Group as required including preparation and distribution of general correspondence, filing of documents and correspondence, preparing meeting minutes, preparing reports
  • Maintain a library of building maintenance manuals and drawings
  • Assist the Asset Management group in plan events, and scheduling courses and seminars

Desired Skills & Experience:


  • Postsecondary business education preferred
  • A solid understanding of the property and service industry and processes
  • 13 years' experience of administration in property management company
  • Solid understanding of basic accounting procedures and coding of invoices
  • Proficient in all aspects of the Microsoft Suite, with an advanced knowledge of Word and Excel
  • Excellent oral and written communication skills
  • Have good time management skills and be able to work under pressure to meet deadlines
  • Be detail oriented and have analytical skills
