Experience Requirements:
- Familiarity with CRA systems and processes.
- Previous experience in an accounting or law firm environment with knowledge of corporate, personal, and trust accounting/tax.
- Proficiency in Microsoft Office Products (Outlook, Excel, Word).
- Familiarity with Caseware Working Papers.
- Experience with video tools such as Teams Meeting or Zoom.
- Knowledge of Adobe Pro or Adobe Acrobat.
- Average typing speed of 5060 words per minute.
- Comfort and confidence in using various forms of new technology.
- Familiarity with TaxPrep or CCH iFirm (not required).
- Experience with ScanSnap hardware.
Job Roles and Responsibilities Throughout the Year:
As an Administrative Assistant at MKP, your responsibilities will include:
- Serving as the first point of contact for clients, with a strong focus on exceptional client service.
- Setting up new jobs in CCH iFirm, updating job statuses, and closing completed jobs.
- Assisting clients and encouraging them to sign up for our secure online portal.
- Ensuring client information is updated and maintained in the firm's CCH iFirm database.
- Monthly maintenance of a list and contacting corporate clients as a reminder to submit their yearend records.
- Obtaining and downloading information from CRA's website on behalf of clients or the accounting team.
- Assisting the accounting team in filing tax returns and submitting documents by fax, mail, or online.
- Compiling and organizing required documents for the accounting team prior to the start of their work.
- Contacting CRA on behalf of clients or the accounting team via phone or online.
- Assisting accountants with client outreach during yearend engagements and serving as a point of contact during preparation as needed.
- Setting up yearend files for preparation, including rolling forward files, preparing engagement letters, receiving client documents, and scanning records.
- Sending out completed yearend files and collecting required signatures.
- Scheduling and coordinating yearend meetings between the accounting team and clients.
- Ensuring signed yearend packages are uploaded into Caseware Working Papers and preparing files for lockdown.
- Assisting clients in Efiling corporate tax returns, personal tax returns, trust returns, GST/HST returns, WSIB returns, T4/T5 returns, and other CRA prescribed forms.
- Handling invoicing and job closure.
- Collecting and logging payments.
- Maintaining the electronic file system and paper records as necessary.
Personal Tax Season:
During the tax season (February to April), your responsibilities will adapt to assist the team and clients with tax-related tasks
These responsibilities include:
- Scanning in tax return records dropped off by clients.
- Assisting the team in sending out our annual T1 checklist reminders.
- Coordinating with clients' financial planners and others to collect investmentrelated information.
- Assisting with CRA downloads from online into TaxPrep T
- Updating and maintaining CCH iFirm for accurate status updates.
- Managing tax returns out for signing and ensuring receipt of signed tax records.
- Handling the movement of signed tax returns from the client portal to the client job and then Efiling.
- Scanning in signed tax returns into CCH client job and then Efiling.
- Printing tax returns and scheduling clients to come into the office to sign.
- Closing CCH Tax jobs.
