ADMINISTRATIVE ASSISTANT
Full Time

70 Bi-Weekly Hours| Non-Union | Days Shift


Baycrest provides care to approximately 1,200 people daily, through a continuum of services that includes wellness programs, residential housing and outpatient clinics, a 472-bed nursing home and 300-bed continuing care hospital facility with an acute care unit.


Baycrest combines a comprehensive system of care for aging patients with one of the world's top research institutes in cognitive neuroscience, dedicated centres focused on mitigating the impact of age-related illness and impairment, and unmatched global knowledge exchange and commercialization capacity brought to the international marketplace.

We have an exciting and challenging opportunity for an Administrative Assistant that will support the Manager, Executive office.


Responsibilities include but are not limited to:

  • Provide administrative support to the Manager, Executive Office.
  • Develop and maintain electronic and paper file management.
  • Perform functions that support effective and efficient departmental operations.
  • Coordinate events, as required.
  • Assist in composing/editing a variety of business documents including memos, reports, proposals and presentations.
  • Provide calendar management.
  • Performs general administrative duties.
  • Coordinates travel reservations as necessary.
  • Reception duties for Executive Office.

Qualifications include but are not limited to:

  • Post-secondary school diploma in Office Administration or a related field required.
  • A minimum of five years' experience in an administrative assistant role.
  • Excellent coordinating, time management and organization skills.
  • Strong communication, interpersonal skills and a great listener.
  • Demonstrated ability to use tact and diplomacy in dealing with sensitive and confidential matters.
  • Ability to be flexible and adaptable in a changing environment.
  • Ability to prioritize and deliver on tasks without fulltime direction.
  • Excellent proofreading and editing skills.
  • Excellent computer skills with at least intermediate knowledge of Microsoft Office Suite (including Word, Excel, PowerPoint and Outlook) and Adobe XI Pro.
  • An ability to troubleshoot basic computer and technology issues as they arise.
