    Administrative Assistant, based out of St. Thomas, ON
  • Our mission has started. Volkswagen Group's largest cell factory in St. Thomas will carry out all battery activities from processing raw materials to developing a unified Volkswagen battery to managing the European and North American gigafactories. Headquartered in Salzgitter, Germany, we are experiencing the transformation of mobility up close. Our goal is to contribute a positive impact to our global society, the environment and the economy.   • We are looking for a passionate Administrative Assistant who wants to CELLebrate in a fastpaced and fastchanging environment. As part of the rampup team of our new Canadian location, you will report directly to the Senior Director, Finance. You will provide direct administrative support to both the Senior Director of Finance and the Head of Project Management Battery Plant Ramp Up. You will also be providing general administrative support to the Canadian Finance team in daily business operations, serving as the key link on the Finance Team for general rampup projects and being involved in a variety of activities.

This is a flex hybrid model, requiring 2 days per week in the St. Thomas office

Primary Responsibilities:


  • Prepares and coordinates key internal and external meetings, manages schedules, agenda topics and presentations, communication and action plans follow up as required.
  • Effectively manages on a timely basis: expenses, calendar & travel management, itineraries, correspondence, company car / IT concerns, teleconference setup, appointment booking, translation ad hoc requests, onboarding new team members, etc.
  • Serves as the point of contact for assigned leaders in their absence.
  • Develops and tracks deliverables of projects, providing progress reports, and proactive management responses.
  • Regular monitoring, recording, reporting and communication of project deliverables.
  • Maintenance and publishing on SharePoint & Volkswagen Group Canada Intranet of Finance documents/programs.
  • Interfaces with all levels of the organization within Canada as well as Germany
  • Works closely together with other members of the administrative team
  • Performs other duties as assigned or as they might pertain to the position
  • Work closely with other team members, providing support as required to ensure the smooth operation of the department.
  • Post-Secondary education in Business, Finance or a related field, and/or equivalent relevant work experience
  • 3+ years of related work experience, within a busy corporate and/or startup setting preferred
  • The ability to adapt to and maintain flexibility with the prioritization of multiple projects under sometimes mínimal supervision
  • Proven experience with multitasking, attention to detail, and ability to deal with ambiguity with a high degree of discretion and confidentiality
  • Advanced competency with Microsoft Office Suite (Excel, PowerPoint, and Outlook) is required, with experience with OneDrive, SharePoint, Concur and SAP strongly desired
  • Demonstrated interpersonal skills and a proven history of developing strong working relationships across many layers of an organization and across cultural boundaries.
  • Ability to work in a dynamic environment, understand and handle last minute changes with professional demeanor and tact.
  • Proactively identifies opportunities to support and improve processes, adding value and contributing to the company rampup phase along with the ability to analyze situations and propose solutions to overcome challenges
  • Experience in project management and budgets an asset.
  • Ability to travel within Ontario (up to ~10%)
  • Ability to maintain flexible work hours to account for time zone differences with Europe, when necessary
  • Overtime may be required to meet rampup deadlines
