Mission:


The Office Administrative Assistant is responsible for various administrative aspects as well as coordinating the tasks and activities of the team assigned to the Halifax office.

The person selected for this role will also be responsible for document management, quality control, reception, and correspondence. The incumbent may occasionally work from home.


Primary responsibilities:


  • Greet clients and visitors in the office and on the telephone, plan and organize meetings and make meeting room reservations when necessary.
  • Prepare and edit correspondence and other documents in the appropriate format.
  • Perform word processing and quality review of various documents, specifications, reports, proposals, presentations, contracts, etc.
  • Book conference rooms and provide administrative support to department colleagues (business cards, travel arrangements, events, etc.).
  • Prepare for the arrival of new employees (office supplies, correspondence with other departments such as IT, HR, HSE and Accounting).
  • Establish and maintain effective working relationships with colleagues and clients, following up on deadlines and issuing reminders.

Profile:


  • Professional degree or college diploma in administration, communications, office technology or an equivalent in another relevant field.
  • Relevant experience in administrative support in a similar position.
  • Fluency in written and verbal English.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, and Visio) and Adobe Pro.
  • Demonstrated ability to manage priorities, ensure quality of work, take initiative, and follow established procedures and methods
