    We are currently recruiting for the following role in our Toronto office:

    Matter Management Analyst (1 Year Contract)

    The Role:

    The Matter Management Analyst role supports the successful operation of the Matter Management and Accounting practices by assisting in the development and maintenance of efficient client intake processes, procedures and policies; in addition to providing superior customer service to all staff at Bennett Jones while maintaining daily responsibilities.

    Essential Functions:

  • Conduct conflict searches, including after-hours conflict searches when needed
  • Open clients and matters through the workflow tool including,
  • Verifying clients, matters and KYC information for accuracy and completeness
  • Administer all client and matter update requests in the accounting system after obtaining the necessary approvals
  • Create, apply and maintain phase and task codes on client matters
  • Create, apply and maintain lawyer and expense rates on matters, as well as revaluing work in progress (WIP)
  • Support end users with ethical wall application and process requests
  • Work collaboratively with the billing team to input timekeepers and rates in the accounting and ebilling systems
  • Work with the billing team to accurately update and maintain client matters to support efficient billing
  • Occasionally support billing team members by processing bills during peak periods
  • Ensure data complies with relevant regulations, Law Society rules and firm policies
  • Continually evaluate process and procedures for effectiveness and improvements coupled with documenting, creating and updating existing processes and procedures
  • Promote the Matter Management team and the entire Accounting Department
  • Qualifications:

  • Law firm experience with conflict searches and matter openings is an asset
  • Law firm experience with Aderant is an asset
  • Possess proficient computer skills, including Microsoft products and industry software
  • Demonstrate strong organizational skills with a keen attention to detail
  • Effective decision making skills, ability to identify and resolve issues
  • Excellent communication skills (verbal and written), including interpersonal skills to relate to diverse personalities while demonstrating respectful customer service
  • Aptitude to work independently and in a team environment to manage multiple priorities in a fast paced environment to meet deadlines
  • Occasional overtime may be required to achieve time sensitive deadlines
