Reporting to the Manager of Property Services, the Property Administrator is responsible for supporting and organizing all administration processes of the property which may include rent collection, vacancy management, lease administration, and other similar account payable/receivable processes.

They will act as the first point of contact to tenants as the face of the organization and provide support to the property team as necessary.

The Property Administrator will follow all policies and procedures.


Duties and Responsibilities:


  • Provide rent collection and arrears management
  • Process rent geared to income (RGI) calculations and prepare/mail rent notices
  • Enter rental & other payments into company software (Yardi)
  • Serve all legal notices in relation to nonpayment of rent
  • Process notices to vacate, schedule inspections, create work orders for unit preparation, and process former tenant files
  • Send, receive, and process all yearly rent reviews
  • Prepare leases and conduct lease interviews
  • Complete new lease administration and support new tenant set up to units
  • Provide tenant liaison and respond to inquiries
  • Liaise with other agencies as it pertains to current and new tenants
  • Provide maintenance support as appropriate
  • Adhere to agency Health & Safety Program and the Client Safety Framework in the promotion of tenant safety
  • Demonstrate a strong commitment to quality and service delivery based on SHIP's Mission and Values
  • Other duties as assigned

Qualifications:


  • 2+ years' experience in residential property administration
  • 2+ years' experience with serving rental notices (nonpayment, notice to vacate, etc.)
  • Knowledge of the Resident Tenancy Act and Housing Services Act
  • Experience working in a subsidized housing sector
  • Experience utilizing Yardi or other similar housing software
  • Able to meet deadlines and perform multiple tasks (multitasking)
  • Ability to work with mínimal direction or supervision
  • Highly flexible, with solid interpersonal skills that allow one to work effectively in a diverse working environment

Working Conditions and Physical Requirements:


  • Day shifts (Monday
  • Friday) with the ability to work excess/overtime hours where required
  • Able to sit for prolonged periods of time
  • Able to answer and communicate telephone calls and general computer use
  • Computer screen use (multiple screens if applicable) for prolonged periods of time
  • Able to lift up to 30lbs (equipment, tools, office documents, etc.)
  • Travel by vehicle to building/tenant sites for client support as required
