Records Analyst


Are you interested in records management and data quality? Do you have a knack for solving problems and working with different people? If so, you might be the perfect fit for our Records Analyst position.

Reporting to the Manager, IM and Privacy, the Records Analyst will help keep track, organize records and information.

This position will play a key role in ensuring that data is accurate, accessible and compliant with record-keeping policies and standards.

This is an important and rewarding job that will contribute to the efficiency and effectiveness of our record-keeping processes.


What You Will Do

  • Process and organize incoming records promptly
  • Classify, code, process, store, retrieve, and preserve or destroy records according to set policies and schedules,
  • Analyze information and data requests to ensure the information is complete and FOIP compliant before responding to requests or updating the database
  • Work closely with various departments to understand their recordkeeping needs and provide guidance on best practices
  • Review and analyze records to determine how to fix identified issues and update records accordingly
  • Develop and conduct training programs for employees on records management policies and procedures.
  • Access specific records for other members of the organization and interpret client information management needs
  • Create and maintain documentation of records management processes
  • Audit records or assist an Auditor in doing so
  • Stay current on industry regulations and legal requirements related to records management
  • Maintain an organized inventory, directory, or index of all records
  • Digitize records with the appropriate software or technology
  • Maintain privacy, confidentiality, and compliance by securing records
  • Keep up to date with the organization's disaster recovery plan
  • Administer Registrant Data Management and Cleaning (RDMC) program to manage electronic and hard copy records
  • Identify and recommend changes to business processes and procedures to improve the effectiveness and efficiencies of recordkeeping processes and procedures

What You Posses

  • Diploma or undergraduate degree in Records Management preferred; equivalent combination of education and experience will be considered; minimum High School diploma
  • Comprehensive knowledge of records management principles, practices, regulations and privacy legislation.
  • Excellent written and verbal communication skills
  • Strong interpersonal and relationshipbuilding skills
  • Exceptional attention to detail and organizational skills
  • Ability to recognize and handle confidential information in a professional manner
  • Able to operate the appropriate technology, such as a computer and scanner, and digitization software
