Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, supporting team members, and ensuring smooth administrative processes. Duties
- Oversee front desk operations, including greeting visitors and managing multi-line phone systems with professional phone etiquette
- Handle bookkeeping tasks using QuickBooks and assist with payroll processing
- Manage vendor relationships and coordinate vendor management activities
- Support human resources functions such as employee onboarding, training & development, and maintaining personnel records
- Supervise administrative staff and coordinate team management activities
- Maintain filing systems, organize documents, and ensure proper record keeping
- Assist with budgeting processes and expense tracking
- Perform clerical duties including data entry, scheduling appointments, and preparing reports
- Ensure office supplies are stocked and manage procurement processes
- Support office projects and initiatives to improve operational efficiency
Skills
- Proven supervising experience with strong team management capabilities
- Proficiency in QuickBooks, bookkeeping, payroll, and vendor management software
- Extensive office experience with a focus on clerical and administrative functions
- Excellent communication skills, both verbal and written, with strong phone etiquette skills
- Exceptional organizational skills with attention to detail and ability to multitask effectively
- Experience with front desk operations and multi-line phone systems
- Ability to handle human resources responsibilities including training & development and employee relations
- Competency in budgeting and expense management processes
- Strong filing skills for document organization and record keeping
- Ability to work collaboratively within a team environment while demonstrating leadership qualities
