Position purpose:


Working in the Office of University Advancement, the Advancement Operations Associate is responsible for ensuring smooth running of our day-to-day operations in service of development and alumni relations.

The incumbent will touch upon all areas of our business through supporting operations, administration, reporting and performance management.

The role will help advance key files and projects pertaining to the University's Campaign by providing logístical, operational, and administrative support to the AVP Advancement and Director of Development Operations.


In this role, your responsibilities will include:

Campaign Operations Support:

Provides operational and logistics support to campaign operations such as events, meetings, travel, budgeting, and any other campaign-related activities.

This will include preparing files, booking meetings, organizing shared and/or resource calendars and providing administrative support as required.


Reporting and Presentation Support:
Runs, organizes, collates, and disseminates prescribed Campaign and Advancement performance reports.

This includes preparing individual packages based on templates, providing prepared materials on demand from the Development Leadership Team (DLT), highlighting key areas for the Director to review, and ensuring data-quality by validating report contents.


Information and Database Support:
Support the daily operations of the database including data entry, report generation, and creating documentation for advancement reporting.

Providing key information and data to Director, ALT and other Advancement staff as requested - including briefing notes, Campaign materials and external reports.


Advancement Operations Support:

Assist the Director in identifying, and triaging tools, frameworks, and technologies to improve and update existing Advancement processes and procedures.

This will also require conducting general web research, collecting, and collating published industry standards and best practices in advancement operations.

Provide logístical support of signature campaign activities, including preparing materials, coordinating schedules, identifying vendors etc.


Performance Management Operations:

Run the day-to-day operations of the Performance Metrics program - including data entry into internal scorecards, running regular reports, compiling information, and preparing quarterly performance updates for the Director to review.

Also includes supporting in the preparation of annual and quarterly reports for select audiences by collating information, formatting reports and filling data into pre-set templates.


What you will bring:

Undergraduate education in administration or related field, or an equivalent combination of education and experience

Minimum of two (2) years of experience working in fundraising, sales operations or other administrative roles.


High degree of proficiency in Microsoft Office Suite - specifically Word, Excel and Powerpoint - in order to create and share information.

Strong ability to synthesize information from various sources. Exceptional planning and time management skills

Sound judgement, with excellent listening, problem solving, priority setting, and organizational skills

Ability to analyze and manage data via a computerized system (preferably a fundraising database such as Raiser's Edge).

Given the personal and private nature of information on file, must be mature and able to exercise professional discretion

Proven ability to take initiative and work in collaboration with select stakeholders
