ABOUT UPP'S JOINT SPONSORS


As a jointly sponsored pension plan (JSPP), governance and risk at UPP are a shared responsibility between members and employers, where each has equal say in plan design, funding, and administration.

Joint governance ensures a high degree of accountability and transparency while putting the interests of Plan members at the centre of every decision.

Guided by individual and clearly defined mandates, UPP's Joint Sponsors and Board of Trustees work in concert to ensure the Plan is run efficiently, strategically, prudently, and in the best interest of all Plan members.


THE ROLE


This part-time role will provide administrative support to the Employee Sponsor Committee (ESC), ensuring ESC work plans are supported and implemented on schedule.

This role also includes managing day-to-day correspondence and scheduling, drafting and organizing a wide array of documentation, assisting with meeting minutes, and tracking action items.


Location:
This role is predominately remote, with travel within Ontario occasionally required for in-person meetings on an ad-hoc basis.


Work Schedule:
This is a part-time opportunity, requiring an average of 15 hours a week, but can vary.


Contract Length: 6 months, with potential to renew.


Employment Type:
Independent Consultant (Hourly, Incorporated)


KEY ACCOUNTABILITIES:

Complete a wide variety of administrative tasks for the ESC, including but not limited to:

  • Scheduling, planning, and organizing meetings attended by committee members (includes weekly/bi-weekly ESC meetings, monthly "Small Group Meetings" hosted by UPP's Engagement Team; quarterly meetings of the Joint Sponsors; quarterly meetings with the labour-appointed Board of Trustees members; meetings with interested parties where there is Employee Sponsor representation; meetings between ESC co-chairs; ad-hoc meetings with Employer Sponsor Committee representatives; and meetings with the Advisory Committee of Employee Sponsors and with the non-unionized employee representatives)
  • Proactively preparing agendas, background notes, and other meeting materials; taking accurate minutes, recording action items, and ensuring appropriate followup steps are taken in a timely manner
  • Staying up to date on issues relevant to the ESC and ensuring the committee is aware of its obligations and related deadlines
  • Drafting professional communications to related groups and key stakeholders
  • Acting as the key contact person for the ESC with respect to document management and ad hoc queries on the status/history/development of key issues
  • Conduct research and gather data required by the ESC
  • Other tasks as required

QUALIFICATIONS & EXPERIENCE:


  • Completed a postsecondary program (diploma, degree, or professional training program)
  • Administrative experience in a corporate or professional environment, directly supporting senior leaders and professionals
  • Three to five years experience in project management/coordination, ideally including project management certification
  • Strong Outlook and calendaring skills; proficiency in the MS suite of products; willing to learn new software such as board portals and doodle polls
  • Highly organized with strong time management skills, keen attention to detail, ability to identify most pressing daily priorities, and ability to prioritize and multitask
  • Excellent writing and proofreading skills; able to produce documents quickly and accurately
  • Proven ability to work in a fastpaced environment with competing priorities under tight deadlines
  • Ability to work independently and develop appropriate solutions to challenging operational issues
  • A commitment to maintain confidentiality and to work with integrity and professionalism
  • Knowledge of pensions/pension policy, collective bargaining and/or experience in a university environment is considered an asset
  • Demonstrate a commitment to accessibility, diversity, and inclusion
  • Experience with document management
