EXECUTIVE & PERSONAL ASSISTANT TO PRESIDENT & CEO Vancouver, BC

Summary of Position
You will be a trusted assistant to the President & CEO. Your key priority is ensuring that his work and personal priorities remain organized. You will help support the organization of the office as well. The role is fast-paced with multiple deadline; it requires a demonstrated regard for confidentiality.


Responsibilities

  • Coordinates the processing and production of correspondences.
  • Responsible for taking confidential messages and relaying them.
  • Extensive calendar and contacts management.
  • Assists with the organization, planning and production of office events and activities.
  • Participates in meetings as required to capture key decisions and action items.
  • Prepares and verifies a variety of documents which require the signature.
  • Proactively ensuring all supporting info and equipment are ready in advance of meeting.
  • Plans and coordinates all travel arrangements for the CEO and CEO's family.
  • Coordinates personal schedule and obligations, ensuring that all details are planned and attended to. Including coordinating complex lastminute meetings/ appointments/changes.
  • Organizes birthday celebrations, gifts, cards for HO staff and family.
  • Coordinates the needs of the CEO's personal residence and programs.
  • Coordination of property management activities for CEO's rental and other properties.
  • Some availability required outside of regular office hours.
  • Variety of adhoc special projects.

Qualifications

  • Minimum Grade 12 with Commerce/Business Courses.
  • Some Post-Secondary education preferred, i.e. business or secretarial course.
3. 2+ years' experience in a similar capacity.


  • Must have a valid BC Driver's license and a car.
  • Excellent interpersonal skills and capable of working with all levels of employee groups.
  • Highly organized and demonstrate a keen eye for detail to ensure accuracy.
  • Proficient in Outlook, Word, Excel and smart-phone operation.

Salary:
$65,000.00-$70,000.00 per year

Ability to commute/relocate:

  • Vancouver, BC: reliably commute or plan to relocate before starting work (required)
