Job Summary:
We are currently seeking a highly motivated and organized Office Administrative Assistant to join our team.

This role will play a pivotal part in ensuring the smooth operation of our office, providing essential administrative support to the Office Administrative Manager and other staff, and contributing to the efficient delivery of our care services.


Shift and Schedule:

  • 34 days weekly; up to 20 hours a week

What we're looking for:

  • High school graduate: college degree preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Excellent organizational and time management skills with great attention to detail.
  • Ability to multitask and prioritize tasks in a fastpaced environment.
  • Compassionate attitude and dedication to providing exceptional service.
  • Minimum of two (2) years' experience in a business setting, health care preferred.
  • Knowledge of medical terminology preferred.
  • Speak, read, write, and comprehend English.
  • Computer Literate. Microsoft Office.
  • Demonstrated strong verbal, written and interpersonal communication skills, answering phones.
  • Demonstrated ability to type at least 50 words per minute and familiarity with computer programs.
  • Demonstrates strong leadership, organizational and communication skills.
  • Demonstrates ability to manage a team and network.
  • Pass criminal history clearance or have exemption clearance.

Essential Functions:

  • Assist in scheduling appointments for staff, coordinating client care schedules, and maintaining records accurately.
  • Manage office supplies and inventory to ensure adequate stock levels.
  • Uphold confidentiality and handle sensitive information with professionalism and discretion.
  • Establishes agency standards and appropriate reorder points.
  • Billing and Invoicing process.
  • Data entry for new hires, clients and schedules for billing and payroll.
  • Maintains current admission log.
  • Hiring process for direct care staff/caregivers.
  • Provides clerical support to agency management/owner and supervisory personnel.
  • Prepares correspondence, reports, documents, and medical Plans of Care.
  • Assures compliance with applicable laws.
  • Attends meetings and educational programs as required.
  • Maintains confidentiality in all aspects of the job.
  • Communicates all necessary information to the Office Administrative Manager to ensure coordination of services and activities.
  • Contacts clients, referral sources, families, and other disciplines as directed to assure care coordination.
  • Ensures the completeness and accuracy of all information provided to the public regarding the agency and its services by reviewing it on a regular basis (including all marketing materials and activities).
  • Ensures that all individuals providing services for the agency meet the qualifications, orientation, competency, training, and education requirements as defined by the rules and regulations.
  • Ensures that client care assignments are based on the caregiver's abilities, skills, and competence.
  • Documents employee problems in personnel files and participates as requested in employee disciplinary actions.
  • Client record review to ensure documents of services provided are accurate and timely.
  • Performs additional duties and responsibilities above and beyond as deemed necessary to meet the needs of the agency, as the owner may require.
