Job Scope

Core Responsibilities

  • Understands and administers Vancouver Film School policies and procedures to all staff and students at the program level.
  • Coordinate with the Education Administration Department with respect to student handbook updates, orientation and introductory sessions, student records such as grades, attendance, graduation and employment of students.
  • Oversight, organization, and administration of faculty schedules.
  • Communicate daily with students in the area of personal issues, upcoming events, class meetings, absence meetings and disciplinary issues.
  • Coordinate and administer departmental services for faculty such as phones, contact lists, office space and computer support.
  • Coordinate and communicate with Teaching Assistants with respect to scheduling and departmental needs.
  • Liaise with the Marketing Department to ensure receipt of current programming particulars.
  • Liaise with Admissions and Students Services Departments with respect to new students and alumni.
  • Coordinate with the Educational Administration Department the submission of course outlines and lesson plans and maintenance of curricular tracking sheets for the Animation Department.
  • Distribute and track instructors course information such as attendance sheets for students, grades and course evaluations.
  • Liaise and coordinate with the Human Resources department in the areas of faculty hiring, tracking of staff attendance and change of information of current faculty and employees.
  • Input payroll, vacation and course assignment data into EMPulse HR/Payroll system
  • Liaise and coordinate with Accounting regarding student budgets, requisitions and department budget.
  • Liaise and coordinate with the Operations Department with regards to building maintenance.
  • Other duties as assigned by the Head of Department.

Job Qualifications

  • Degree/Diploma in either of the following discipline: Film, Theatre, Educational or Business Administration along with a minimum of 35 years of administrative experience.
  • Excellent written and interpersonal skills with an attention to detail and accuracy.
  • Demonstrated organizational, supervisory and time management skills.
  • Knowledge of entertainment industry and/or animation production would be preferred.
  • Strong computer and software skills.
  • Good business writing skills with an attention to detail and accuracy.
  • Ability to communicate effectively with all levels of personnel and with external contacts.
  • Demonstrated organizational and time management skills.
  • Demonstrated good judgment and initiative with the ability to work independently
  • Highly organized team player with a flexible approach and works well under pressure.
  • Ability to present a professional and positive image and maintain discretion and confidentiality.
