The Office Assistant prepares and scans department paper files.

Office Assistant's main duties are as follows:

  • preparing documents for scanning.
- scanning of the documents.
- checking the quality of the scanned documents.
- shredding the scanned documents.


Responsibilities:


  • Document Prepping: Prepare documents for scanning by removing staples, paperclips, sticky notes and straighten bends or creases in the documents.
  • Document Scanning: Scan each document in the files, including doublesided pages and save in a digital format within the network file system.
  • Quality Control: Checks the quality of scanned documents to ensure the documents are scanned, accurately, and a clear quality image is captured.
  • Scanned Document Storage: Ensures each scanned file is properly named and saved to the correct client file network drives.
  • File Retention: After scanning, keep all original paper documents as per instructions from Supervisor

  • File Destruction: Shred all file documents that are not required to be kept in paper format as per the retention policy.
Education, Experience, and Skills

  • Minimum of 1 year of work experience.
  • Postsecondary education an asset.
  • Strong communication (verbal and written) skills.
  • Excellent interpersonal skills with a professional demeanor.
  • High attention to detail and accuracy.
  • Strong administrative and organizational skills with ability to multitask and meet tight deadlines.
  • Proven ability to work in a team environment and/or independently with mínimal supervision.
  • Good computer skills with basic level proficiency with Outlook, MS Word, and Excel.
  • Highly motivated and flexible.

Job Types:
Full-time, Part-time


Salary:
$22.00-$25.00 per hour

Education:


  • Secondary School (preferred)

Experience:


  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
