    Position Overview

    The role of the Receptionist & Branch Assistant is to provide administrative support to management and to demonstrate professionalism in dealing with investment advisors, their team members and clients. This is combined with the role of receptionist, where the responsibilities are to provide administrative and professional support to the branch and in its dealings with investment advisors, their team members and customers.

    Duties and Responsibilities

    • Administrative functions: Receiving and processing cheque deposits, recording credits to client accounts and keeping records for audit clean
    • Administrative functions: Printing and mailing cheques
    • Administrative functions: Receiving and processing certificates deposits
    • Administrative functions: Monitoring petty cash
    • Administrative functions: Assist the Branch Administrator in monitoring and clearing up the compliance pending list
    • Branch functions: New account documentation
    • Branch functions: Assist Branch Administrator with I.T. setups and tech support for branch personnel
    • Branch functions: Back-up to the Branch Administrator
    • Branch functions: Additional duties as per assigned
    • Reception functions: Receive, greet and direct calls and clients
    • Reception functions: Sort and distribute incoming mail
    • Reception functions: Assist to coordinate branch and client meetings, set up boardrooms
    • Reception functions: Accounts payable
    • Reception functions: Order office and kitchen supplies and monitor inventory

    Qualifications

    • 1-3 years' working experience in the Finance industry
    • Eager to learn new skills and adapt to a changing working environment
    • Ability to work efficiently, multitask and maintain professionalism in a high-pressure environment
    • Operations familiarity within the brokerage industry
    • Familiarity with commonly used programs such as Dataphile
    • Strong Microsoft Office Suite skills
    • Strong communication and interpersonal skills
    • Detail oriented and strong organizational skills
