Band Manager*****: The Cook's Ferry Indian Band has an opening for the position of Office Coordinator, Finance with the position located in the Merritt Office.


Under the limited supervision of the Band Manager, serves as the office coordinator for the new office of the Cook's Ferry Indian Band in Merritt.

The Office Coordinator, Finance works under the general direction of the Director of Finance to perform duties related to one or more of the following areas:
payroll, billing, and/or accounts payable, such as posting to general ledger and reconciliations. The Office Coordinator, Finance maintains records and spreadsheets and prepares government remittances. Works with Human Resources and Housing departments to carryout status changes and general administration.


DUTIES AND RESPONSIBILITIES:

The Office Coordinator, Finance will perform the following job functions:

  • Serves as the office supervisor for the Band's Merritt office and in doing so provides administrative support for Chief, Council, and management staff at the Merritt office.
  • Serves as the primary point of contact for members, general public, and contractors who have business associated with the Cook's Ferry Band.
  • Supports in processing financial information such as payroll (semimonthly), accounts payable by performing duties such as entering and updating records, posting accounts payable entries to the general ledger, completing trial balances, following up on overdue accounts and making decisions regarding related action. Identifies reasons for discrepancies, and takes corrective action.
  • Maintains records and prepares government remittances including GST and WCB.
  • Receives direction to calculate retroactive payments and entitlements.
  • Assists with the preparation of financial statements and annual T4 slips, and collects information required for budgets and audits.
  • Answers inquiries by telephone and in person. Identifies problems and takes corrective action.
  • Works with Human Resources processing new employee benefit enrollments and any status changes. Supports the Housing department with general record keeping and other necessary housing paperwork.
  • Performs payroll duties such as reconciling payroll deductions, and verifies payroll information. Investigates and resolves discrepancies, and follows up on problems.
  • Performs cash management duties such as receiving, recording, and balancing cash transactions, making bank deposits, and maintaining and balancing petty cash accounts.
  • Maintains the procedures and training manual for the Finance department including the upkeep of the Band's dashboard on the First Nations Financial Management Board website.
  • Ensure contracts, purchase orders, agreements, and requisitions have budget codes and are signed and accompanied by other necessary personnel documents.
  • Prepare and follow up on request for billing and cheque requisitions.
  • Maintain records and files.
  • Performs other related duties as assigned

QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS

  • Minimum Grade 12 with a minimum oneyear postsecondary education in office administration, with additional training in accounting, and a minimum of three years' accounting or bookkeeping experience along with experience in general office administration, or an equivalent combination of education and experience.
  • Good working knowledge of accounting systems and procedures, including cost accounting
  • Good working knowledge of office systems and procedures;
  • Attention to detail, performs with consistent accuracy.
  • Computer experience essential, particularly using spreadsheets, automated accounting software, and word processing,
  • Ability to develop and implement processes for cost control.
  • Good organizational skills and ability to schedule own workload.
  • Effective time management skills.
  • Good telephone and interpersonal skills
  • Ability to maintain confidentiality of the position and the information
  • Ability to convey budget information to faculty and staff in a professional, sensitive manner.
  • Ability to approach business contact in a professional manner.
  • Excellent oral and written communications.
  • Ability to complete tasks in a working environment that has constant and multiple interruptions.
  • Ability to work independently
  • Requires a sound working knowledge of specific duties of other clerical positions.
  • Valid Class 5 diver's license and satisfactory driving record is required.
