SUMMARY OF POSITION


Reporting to the Manager, Professional and Leadership Development (PLD) programs, and working collaboratively with a diverse Professional and Leadership Development (PLD) team, the Production Coordinator supports the Canadian Collage of Health Leaders and their partners and consultants, through provision of services to client organizations and college members.


KEY ACCOUNTABILITIES AND RESPONSIBILITIES

Program/Event Support

  • Assist and support event registration management processes.
  • Supports the delivery of virtual events, including early setup, welcoming participants, facilitating online chats, technical support, and coordinating the polling, white board activities and breakout rooms as needed.
  • Provides presession planning, setup and event coordination, and postsession support, including responding to participant questions, distribution of event recordings and event closeout.

Program Platform Management

  • Coordinates the set up and oversees the administration of all platforms including creating and duplicating existing programs and webinar sessions, adding users and providing login communications, activating member accounts and updating profiles
  • Provides administrative support for our member engagement platform, The Circle.
  • Maintains clear lines of communication and acts as the point of contact between facilitators/consultants and participants/users of the platforms to troubleshoot and resolve any technical issues.

Administrative Processes and Procedures:


Contributes to the development and update of new and existing processes, procedures and guidelines that help support program delivery and activities.


  • Creates, maintains and distributes core documents pertaining to program delivery, including registration lists, attendance and tracking documents, as needed
  • Updates and troubleshoots technological platform tools and resources
  • Coordinates and participates in program planning meetings and sessions with internal and external partners, clients and consultants, including coordination of the details for both virtual and inperson program offerings
  • Manages/maintains the various planning calendars including Outlook, Sharepoint
  • Internal support assisting team members with provision of technical support and documents
  • Continuous improvement recommendations and implementation for internal systems and with external relationships and partners

QUALIFICATIONS

Skills and Experience

  • 2+ years of coordinating crossfunctional activities, including a minimum of 2 years of virtual event production.
  • Demonstrated experience with collaboration features for online meeting platforms such as Zoom and experience providing technical support and/or troubleshooting participant technical issues during a virtual event.
  • Experience in project management, event logistics, education or in the healthcare industry, is an asset.
  • Advanced computer skills in Microsoft Office 365 suite, database management, QuestionPro
  • Experience in operating audio visual systems for meetings/conferences/events is an asset.
  • Strong time management and organizational skills, with the ability to deal with multiple priorities simultaneously while maintaining attention to detail.
  • Strong and engaging group facilitation skills, comfortable on camera.
  • Bilingualism (French and English) is preferred.
  • Ability and willingness to occasionally work outside of core business hours (weekends and/or evenings) is required for hosting of virtual events across several time zones and occasional travel as required.

Education

  • Certificate or degree in administration or a related field from a recognized College or University
