We are seeking a versatile HR/Administrative Assistant to join our team. This role will play a crucial part in providing administrative support to both the HR and accounting departments.


Responsibilities:


Assist with Human Resources tasks, including:

  • Act as a point of contact for employees: address any inquiries, field complaints, and resolve issues.
  • Supporting recruitment efforts by posting job openings, scheduling interviews, and conducting preemployment screenings.
  • Assisting with onboarding activities for new hires.
  • Prepare new employee files by collecting employment and payroll information, proof of specialized certification, and emergency contact details
  • Complete termination paperwork and conduct exit interviews
  • Maintain records related to grievances, performance reviews, and disciplinary actions
  • Enforce health and safety policies, ensure staff certification is up to date, and arrange for refresher training.

Provide Administrative support to the office, such as:

  • Answering phones, taking messages, and directing calls to appropriate parties.
  • Managing calendars and scheduling appointments.
  • Assist with fleet management by booking appointments for service and repairs
  • Drafting and formatting documents, reports, and presentations.
  • Retrieve and complete H&S documents for various projects and job sites.
  • Ordering office supplies and maintaining inventory.

Administer Administrative and Accounting tasks, including:

  • Assisting with accounts payable and accounts receivable duties.
  • Support in processing invoices, expense reports, and reimbursements.
  • Scanning, filing and maintaining accurate financial records and documentation.
  • Coordinating with vendors and internal stakeholders as necessary.
  • Assist with basic data entry tasks, including recording financial transactions and updating account information.
  • Collaborate with other office staff to ensure smooth operation of the office.
  • Provide upper management with executive support and complete ad hoc tasks as needed.

Qualifications:


  • High school diploma or equivalent; associate or bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Previous experience in an Administrative role, with exposure to accounting and HR functions preferred.
  • Good mathematical skills.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and accounting software (e.g., QuickBooks).
  • Knowledge of HR processes and regulations preferred.
  • Excellent organizational, multitasking, and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
