About the Opportunity:


  • Perform general reception duties, including telephone contact with public and staff
  • Receive and responds to inquiries and requests, both on the phone and in person, exercising sound judgment, courtesy and confidentiality
  • Complete client bookings and registrations for collaborative practice team using an electronic medical record
  • Book clinic dates in collaboration with the collaborative practice teams
  • Ensures complete and accurate billing for the practice
  • Organize patient charts, picks up charts from health records and completes transcription related to patient care
  • Perform general clerical duties such as filing, photocopying, scanning and maintaining sufficient inventory of supplies
  • Provide program assistance which may include brochure development, planning and coordination of launches, educational sessions and other special events as related to various projects
  • Transcribe and distribute minutes of various committees and working groups as requested by management team
  • Assist with the planning and organization of various meetings as requested by management team
  • Collect data, performs data entry and maintains other relevant information as required by NShIS, Electronic Medical Record (EMR)and generates statistical reports as required
  • Assist with tracking expenditures through the organization of expenses in excel documents as requested
  • Work with mínimal supervision, using sound judgment to make decisions
  • Responsible to hold in confidence all matters pertaining to clients, staff and the collaborative practice team
  • Other related duties as assigned
  • Some travel may be required

About You:


  • Grade XII required
  • Graduate of a recognized office administration program required
  • Certificate in medical terminology required
  • Ability to use Microsoft Windows and all components of Microsoft Office including Excel, Power Point, Outlook
  • Proficiency in using an EMR (ie. Med Access and Meditech) is an asset
  • Oneyear recent experience in office administration required
  • Typing speed of at least 40 words per minute with accuracy
  • Background in health care preferred
  • Demonstrates an awareness of organizational and community needs
  • Fluent in French and English preferred
