Reporting to the Staffing Resources Manager,
Qualifications:
- High school diploma or equivalent
- Computer literacy required
- Minimum one year of relevant work experience
- Knowledge of the following: Environmental Hazard Awareness, Administration and Management, Emergency Protocols, Northwood policies and procedures
- Experience with computer software (e.g. Microsoft Office, Scheduling Software)
- Excellent communication and interpersonal skills
- Ability to regularly deal with challenging issues while maintaining a professional attitude
- Strong logical and organizational skills
- Demonstrated ability to work independently and in a team environment
- Ability to attend work on a regular and consistent basis.
Major Responsibilities:
- Booking staff (e.g. gathering availability and scheduling staff accordingly, contacting staff regarding shifts).
- Processing all time off requests.
- Replacing staff book offs.
- Preparing, proof reading, and posting schedules.
- Responding to telephone inquiries (e.g. from payroll or staff).
Tasks:
- Works collaboratively with the Staffing Resource team and other departmental Manager's to ensure adequate staffing levels are maintained
- Handles queries regarding employee schedules
- Acts as a point of reference for employees, colleagues and managers regarding relevant collective agreements
- Works collaboratively with the Staffing Resource team and other departmental Manager's to assist team in meeting departmental goals and objectives
- Works collaboratively with the Staffing Resource team and other departmental Manager's to assist in ensuring quality care and services are provided to Northwood residents
- Acts as information source for staff and management as pertains to staff schedules and scheduling
- Ensures systems and processes are adhered to ensuring accuracy of information and documentation
- Maintains budgetary awareness and continuously seeks efficiencies within Staffing Resources
- Proactively works to minimize overtime and agency usage
- Provides required reports accurately and on time
- Works collaboratively with the Staffing Resource Team and other Departments to manage the internal transfer roster and posting process as required/directed
- Maintains accurate master schedules within the system
- Works with People Services and Education to onboard new hires including orientation, work assignment and rotation
- Works with managers and education to schedule staff for inservices and other education as required
- Completes payroll preparation ensuring accurate and timely export of staff hours to payroll
Hours of work: 25.5 Hours Biweekly
