POSITION OVERVIEW (Purpose):

The management team has overseen development across several asset classes including for-sale residential, seniors housing, office, retail, and industrial, providing Graywood with first-class depth and breadth of experience.


As we grow, we are looking for someone with strong condominium administration managerial experience to take us into the future.

We have established a highly qualified head office Condo Administration and Customer Care team.

As the new Manager of Condo Administration, you would be working and collaborating to create a system that works to generate success for our overall customer relations and closing process.


RESPONSIBILITIES:


Your duties include, but are not limited to:

Administration Managerial Role:

  • Strong knowledge of Sales contracts and documentation, including but not limited to The Agreement of Purchase and Sale, Amendments, Tarion, Fintrac, Condominium Documents
  • Answers and advises on legal requests during the 10day cooling period, communicates and reviews, Amendment pertaining to legal requests.
  • Facilitates assignment and mutual releasees requests through the lawyers.
  • Maintains Agreement Related Documents through the life cycle of the Sales Project to ensure all sale file are complete for closing
  • Working closely with the Director of Customer Care to create Policies and Procedure
  • Facilitate the tracking of but not limited to, Purchase and Sale Agreements, Amendments, Incentives, Deposits, Mortgages, Broker Referrals, Lawyers' Information, Tarion Date Change, Delinquent Sales, and Purchaser Information
  • Works with the Director of Customer Care and coordinates with all departments to prepare and facilitate all closing related items for the Lawyers Closing Package
  • Tracks key milestones timelines, for Finance, Tarion, and Broker Payments.
Communication

  • Working closely with the Director of Customer Care, responsible for creating and reviewing communication templates letters and Scripts and keeping uptodate templates to be reviewed biannually.
  • Works Closely with the Director of Customer Care to Facilitating Purchaser Correspondence timelines and maintaining a high level of Customer Service.
  • Work with the Director of Customer Care to prepare and update Homeowner Education Communication materials.
Relationship and Customer Service

  • Create, nourish, and maintain relationships with Purchasers, Brokers, agents, lawyers and Graywood Team members
  • Work with the Director of Customer Care to analysis and report on the Customer Satisfaction Surveys, and initiate follow up correspondence to maintain relationships with purchasers.
Education

  • Working with the Condo Admin Team and Director of Customer Care, Training new staff on sales CRM & Contract Management Platforms
  • Provide support, mentorship, and Training to Staff and when new process and procedures are introduced

Requirements:


QUALIFICATIONS:


Education:
Post-Secondary education


Experience:5-7-year experience in Sales Office Administration New Development Real estate


Key Competencies:


  • Knowledgeable in Purchase and Sale Agreement and Condominium Documents
  • Familiar with Tarion
  • Highly organized
  • Strong attention to detail
  • Deadline driven
  • Excellent communication and management skills
  • Proficient in word, excel, outlook and accustomed to CRM systems
  • Legal experience would be a plus
