Valard is Canada's top utility contractor and a key player in the Valard Group of Companies and the Quanta Group, the biggest electrical power contractor in North America. Valard offers a wide range of services for transmission, distribution, substations, foundations, telecommunications, and renewable energy.

Reporting to the Manager of Support Services, the Junior Fleet Coordinator will handle clerical and administrative support for all Fleet requirements. This role is located in Concord, ON.

Key Responsibilities:

  • Manage rental contract packages for Valard operations, including recording contract terms in JDE equipment master, informing fleet supervisor and accounting of changes, and coordinating the return or extension of contracts.
  • Generate JDE purchase orders based on project requirements and ensure commitment aligns with equipment needs.
  • Maintain the rental equipment purchase order database in JDE, reviewing and updating open orders as needed.
  • Communicate with rental suppliers regarding contract issues as directed.
  • Obtain rental equipment quotations and compare costs.
  • Assist with rental damage claims, ensuring Valard is responsible only for legitimate damages.
  • Collaborate with onsite equipment trackers on equipment acquisition, damages, and returns.
  • Update and report on rental equipment status in JDE, taking necessary actions on returned units.
  • Support fleet supervisor in administrative tasks related to rental suppliers.
  • Collaborate with accounting and fixed assets teams on rental equipment additions, removals, and expenses.
  • Track unit certifications for expiry.
  • Organize and archive completed work orders.
  • Review unit documentation upon return to the shop.
  • Manage fuel card distribution and document collection.
  • Coordinate time and regulatory document distribution.

Knowledge, Skills & Abilities:

  • Proficient in Microsoft Office Suite, with expertise in Excel, Word, and Outlook.
  • Experience with JD Edwards is an asset.
  • Minimum 3 years of administrative experience.
  • Understanding of fleet dispatch and trucking regulations across Canadian provinces.
  • Experience in project or equipment administration is beneficial.
  • Knowledge of tools, equipment, and vehicles used by Valard operating divisions.
  • Ability to work independently and in a team, managing multiple tasks and meeting deadlines effectively.
  • Strong interpersonal and communication skills.
  • Capacity to communicate clearly and effectively in various formats.
  • Demonstrated ability to work under pressure and adapt to changing priorities.
  • Excellent organizational and time management skills.
