Job Description Summary:


The Executive Assistant to the President & CEO functions as their right hand and the heart of the CEO's Office, which carries a high level of responsibility and requires the utmost discretion and professionalism.

In this role you will be the frontline representative of the CEO and an ambassador of STEMCELL, its culture and values.

You will act as the first point of contact for the CEO and will be responsible for handling detailed/complex scheduling and meeting planning, preparation of quality corporate presentations, domestic and international travel arrangements, processing expense reports, drafting correspondence, and providing administrative coordination and support.

You will liaise with global offices as required, and manage corporate and/or operational activities that support the overall organizational objectives and goals.


You have exemplary agility in navigating multiple priorities with a focus on efficiency and time management, react positively with appropriate urgency to a variety of situations and incoming requests in a growing organization, and execute independently with precision and accuracy with little or no oversight.

Duties and Responsibilities

  • Represent the CEO by welcoming members of the public and officials on behalf of the CEO, and provide support as required
  • Manage complex and challenging calendars, including scheduling meetings with participants in multiple time zones, and arrange and draft meeting agendas, schedules and related documentation
  • Attend weekly Executive and/or Management meetings, and provide meeting minutes and action statements as required
  • Arrange and coordinate domestic and international travel and accommodation, including itineraries and reconcile expense accounts and credit card statements for submission and payment processing in an accurate and timely manner
  • Review incoming correspondence and materials directed for the CEO, proactively bring significant items to their attention, draft wellcrafted correspondence on behalf of the CEO for their review and approval
  • Direct incoming inquiries and requests related to CEO Office matters to the appropriate department and coordinate confidential documentation at the corporate and/or departmental level, requiring CEO approval and signature
  • Produce high quality corporate presentations, complete projects and special assignments of the CEO Office by determining priorities, managing time, gaining cooperation of others, monitoring progress and problemsolving
  • Liaise with the Boards and Association Executive Assistants to organize schedules, travel arrangements and meetings for the CEO and ensure all necessary meeting materials / presentations / CEO briefs are prepared and distributed in advance
  • Organizing and coordinating projects and events as required

Knowledge and Qualifications

  • Bachelor's degree (BSc preferred) with 6+ years of professional experience
  • Experience providing support to senior management/executive level
  • Experience in project coordination and/or event planning is an asset
  • Advanced computer skills and knowledge of Google Suite, including Gmail, Google Drive, Google Sheets, Slides, Doc & Calendar, MS Office, Visio, LudicCharts
  • Highly professional and adaptable with proven judgment and discretion and sensitivity to confidential matters is required
  • High attention to detail, excellent record keeping skills, demonstrated initiative and organizational skills, excellent prioritization, planning and time management skills, excellent oral and written communication skills and presentation and facilitation skills
  • Team player who works collaboratively and professionally with other members of the CEO Administrative Office
