The Administrative Assistant is responsible for supporting the Financial Advisors and working with other branch personnel in the servicing of our current clients and development of new clients.
The individual is not only responsible to oversee reception in an organized and friendly manner, but is responsible for processing client requests, scheduling meetings, and assisting with the office oversight.
Most importantly, somebody who is willing to go the extra mile for the company and the client, taking pride in one's work.
General Information on the Position
Main responsibilities- Greet and assist clients and visitors to the branch- Ensure satisfactory resolution of client inquiries, coordinating responses with other colleagues and departments as necessary- Responsible for the completion of assigned processing by branch cut-off time, specifically for GIC business and non financial changes- Prepare daily banking deposit for the branch- Receive and direct telephone inquiries Responsible for scheduling client/advisor appointments- Prepare letters and correspondence using Word and Mail Merge- Order and maintain branch supplies- Maintain filing system- Support overall branch operations and support other staff and advisors when required- Coordinate advisors' marketing initiatives with implementation and tracking- Adhere to a high service level- Work in conjunction with the Branch Manager and the compliance department to ensure compliance regulations are always followed.
Qualifications:
- High School or College diploma
- A minimum of one year of relevant experience
- Experience in the Financial Service industry (an asset)
Specific knowledge- Very good knowledge of Investments products- Very good knowledge of the Microsoft Office 365 suite and solid computer skills- Complete proficiency in English due to the nature of the duties or work tools or because the position involves interactions with English-speaking partners, members and/or clients
