What you will do:
Under the direction of the Manager, Student Scholarships & Bursaries, the Student Scholarship Officer will coordinate three yearly scholarship cycles on the online scholarship platform, Blackbaud Awards Management (BBAM); evaluating and distributing $1.9M+ in scholarships to over 1,900 students.
In addition, the Student Scholarship Officer will work closely with students, liaise and collaborate with scholarship representatives, faculty and staff, and key stakeholders as needed to ensure timely and efficient awarding of students.
Scholarship Program Maintenance and Administration
- Coordinate the development, evaluation and distribution of donorsupported financial aid, awards, and scholarships to over 1,900 students.
- Launch 500+ scholarships over the course of three cycles on Blackbaud Awards Management (BBAM) with the accurate name, criteria, and scholarship value.
- Review and validate scholarship criteria and associated qualifications in BBAM.
- Deploy messaging to prospective students making them aware of the scholarships and sending targeted followups as needed to specific groups of students.
- Monitor student awards records and alert manager when scholarships need to be revoked.
- Prepare weekly student scholarship disbursement extracts for finance which are required to disburse etransfers to students.
- Maintain procedures and processes that enhance overall effectiveness of business practices for student scholarships program.
- Maintain the student scholarships website, i.e., upload new scholarships, remove discontinued scholarships, update existing scholarship criteria as needed, update and archive scholarship celebration photos, and add testimonials to web pages.
- Coordinate the scholarship gift agreement process.
- Support Stewardship team with scholarship stewardship initiatives, i.e., scholarship stewardship packages and scholarship celebrations including list preparation, table seating, etc.
- Coordinate scholarship renewals process deploy messages, thank donors, track monies, etc.
- Track tributes and ensure tribute contacts are kept abreast of the status of their tributes/scholarships.
- Disburse and track faculty and donorspecific emergency bursary funds and liaise with faculty representatives to ensure donor funds are disbursed.
Scholarship Selection
- Coordinate the internal Advancement review process.
- Shortlist and send scholarship finalists to the scholarship faculty representatives.
- Send list of facultyselected scholarships to the scholarship reps.
- Send scholarship offers and ensure awarding of all scholarship recipients in a timely fashion, ensuring accuracy.
Scholaship Communication/Promotion**- Coordinate yearly promotion of the scholarship program through various methods i,e. social media, Humber Communique, Humber TV, and Humber Radio.
- Work with scholarship representatives and other departments as necessary to share the promotional material.
- Prepare and deploy scholarship messaging for eligible students.
- Update communications content on BBAM each cycle
- Review scholarship website to ensure messaging is updated and relevant per each scholarship cycle.
- Attend and participate in student fairs, open houses, etc.
Customer Service
- Communicate scholarship opportunities with students yearround.
- Assist students with the development of donor thank you letters.
- Collaborate with Humber faculty and staff as needed to support student scholarships.
What you bring to the role:
Education
3-year diploma/ degree equivalent in Fundraising, Information Systems, Business, or Marketing.
Skills and Experience
