Position
Summary:


In consultation with the Manager, Student Advising, the Supervisor, Student Advising coordinates the overall day-to-day routine business operations for the Student Advising Department.

The Supervisor is responsible for human resource processes for the regular student advisers, including hiring, training, day-to-day supervision, routine time and absence management, and contract creation.

In addition, the Supervisor oversees the service delivery portal, manages data, and provides administrative support services to the Manager, Student Advising.

In coordinating the administrative functions of the department, this person contributes to the success of Seneca students by enabling the supports that help them reach their goals.


Responsibilities:


Administration

  • Responds to and responds to inquiries on a range of routine issues concerning Seneca policy, operating procedures and services.
  • When required, arranges meetings.
  • Prepares a variety of correspondence such as letters, tables, reports, statistical charts, submissions from verbal instruction, handwritten or computergenerated drafts for the Manager or Director's signature.
  • Prepares and distributes minutes of regular meetings for the Management team.
  • Researches and compiles information for various issues and for planning purposes, as directed by the Manager or Director.

Student Advising Staff Support

  • Monitors compliance with HR policies and procedures and escalates issues to Manager as required.
  • Hires, trains, supervises, assigns, and schedules the work of full time and part time support staff, adhering to collective agreements and HR policies and procedures.
  • Conducts payroll duties, approving contracts and timesheets where applicable.
  • Supports the Manager and Director on labour relations matters by compiling and/or confirming documentation/data for labour issues (i.e., grievances/arbitrations).
  • Collaborates with Manager, Student Advising to address performance issues.

Management
of Information

  • Facilitates communication of routine information to the student advising team.
  • Manages databases, files and all centralized documents for the department.
  • Liaises with other Seneca service areas to provide information, respond to queries, coordinate work/priorities, plan, problemsolve, work on projects or shared initiatives, etc.
  • Reviews, updates and/or creates webbased centralized databases/repositories of information and knowledgebase for the department.
  • Oversees the monitoring, content and workflow of the student services portal.

Other

  • Coordinates and directs implementation from end to end of special projects (e.g., Open House, Strategic Planning, and Campus Services Annual Report).
  • Oversees the work of others in special project execution.
  • Serves on Seneca committees as appropriate.

Qualifications:


Education

  • Minimum completed three (3) year diploma in Business, Public Administration, Human Resources or related discipline is required. If education is in a related discipline, please state how it is relevant.

Experience

  • Minimum three (3) years' experience providing administrative support in a unionized environment.
  • Experience within a large institution in the public or broader public sector preferred.

Skills

  • Strong client service, interpersonal and communication skills (verbal and written).
  • Demonstrated analytical, problemsolving and judgement skills.
  • Understanding of and commitment to the principles of equity, diversity and inclusion in order to effectively interact with and support a diverse group of students, staff and the public.
  • High level of organization and ability to autonomously manage and prioritize workload, with a focus on process improvement.
